Position: Billing and Project Support Specialist

Location: U.S. Remote

We're looking for a Billing and Project Support Specialist who combines data accuracy with a collaborative spirit. You'll work closely with our VP of PMO across various platforms to ensure both project tracking and billing accuracy.

What You'll Do:

• Prepare and issue invoices using QuickBooks and client specific billing systems.
  
• Enter invoice data accurately based on established rates, contracts, and project details.
  
• Compile and verify billing information from internal systems and project teams.
  
• Maintain organized billing records, documentation, and billing schedules ensuring timely invoice submission.
  
• Track and follow up on outstanding invoices per defined processes.
  
• Perform payment reconciliation by matching received payments to issued invoices and resolving discrepancies.
  
• Respond to routine billing inquiries and escalate complex issues as needed.
  
• Process bi-weekly payroll in accordance with established procedures.
  
• Maintain payroll records and documentation.
  
• Support audits by providing requested documentation.
  
• Partner with in-house teams/departments to align billing practices with revenue recognition guidelines.
  
• Follow company set KPIs and monitor key financial metrics.
  
• Support process standardization and automation efforts to reduce manual intervention, billing, complexity, and errors.
  

You bring:

• 2+ years of experience in billing, payroll, or administrative accounting support.
  
• Experience with QuickBooks and/or client billing portals/systems preferred.
  
• Working knowledge of invoicing, reconciliation, and payroll processes.
  
• Proficiency in Microsoft Excel.
  
• Strong attention to detail and accuracy.
  
• Strong analytical and problem-solving skills.
  
• Excellent communication and interpersonal skills.

Location Requirement:

This is a remote position; however, candidates must reside in one of the following states: AZ, CO, FL, GA, ID, IN, KS, KY, LA, MI, MO, OH, OR, PA, TX, or VA. Candidates located in GA will be given priority consideration.
