Samyak Solutions Inc. (SSI) is seeking an experienced Administrative Assistant III to provide senior-level administrative and operational support to the CDC's Division of Diabetes Translation (DDT) under a Firm Fixed Price contract. The selected candidate will support day-to-day division operations, coordinate logistics, manage personnel action packages, and interface with federal staff in a professional, non-personal services capacity.
Key Responsibilities
• Ensure office activities comply with CDC, HHS, and applicable management policies and procedures.
• Gather, compile, and analyze information for administrative and management reporting.
• Plan and provide logistical support for presentations, meetings, conference calls, and seminars; coordinate materials and logistics at least 2 business days in advance.
• Prepare, proof, format, and distribute correspondence, memoranda, letters, reports, manuscripts, and tabular/statistical materials.
• Provide administrative support for personnel action packages (new and renewal), including quality control review, monthly status reports, and tracking logs for Title 42, Title 5, ORISE Fellowships, Guest Researcher, and Commissioned Corps packages.
• Provide technical assistance for procurement actions: compile/prepare/submit procurement packages, prepare IAA and cooperative agreement documentation, assist with ULO de-obligation, prepare and submit micro-purchase orders.
• Enter, manage, and submit data into CDC administrative systems including ICE, TASNET, SharePoint, Concur, GrantSolutions, and UTAMS.
• Coordinate travel: prepare/submit travel requests, monitor approvals, arrange flights and hotels, track schedules, submit vouchers, and compile travel projections. Process travel orders no less than 5 working days before travel.
• Organize and maintain program files (hard copy and network drives) per federal records management requirements and applicable retention schedules.
• Develop and maintain standard operating procedures (SOPs) with documented version control.
• Maintain and update branch email distribution lists and manage office supply inventory.
• Assist with in/out processing and onboarding of federal and non-federal employees and students.
Minimum Qualifications
• Bachelor's degree and 1 year of relevant administrative experience; OR High School diploma/GED and 10 years of relevant administrative experience.
• Excellent written and verbal communication skills; strong interpersonal skills.
• Proficiency in Microsoft Office Suite: Word, PowerPoint, Excel, and Outlook.
• Experience with federal administrative systems (ICE, Concur, SharePoint) strongly preferred.
• Ability to obtain and maintain required CDC background investigation and security clearance.
• Must complete HHS/CDC Information Security Awareness, Privacy, and Records Management training prior to starting and annually thereafter.
Other Requirements
• Must comply with HSPD-12 and obtain a CDC PIV credential.
• Work is primarily CDC Chamblee Campus, Atlanta, GA.
• U.S. citizenship or authorization to work in the United States required.
