Job Summary:

Coordinates the operation of multiple support units or an entire division within the Fulton County Court System. This position is in the Family Division of Fulton County Superior Court.

Essential Duties:

  • Responsibilities include managing assigned staff, supervising and participating in the processing and recording documents, filing, collecting of court fees, indexing of documents, and preparing activity reports as required.

  • Supervises, directs, and evaluates assigned staff: makes hiring and termination decisions/recommendations; develops and oversees employee work schedules to ensure adequate coverage and control; compiles and reviews timesheets; approves/processes employee concerns and problems and counsels or disciplines as appropriate; assists with or completes employee performance appraisals; directs work; acts as a liaison between employees and management; and trains staff in operations, policies, and procedures.

  • Organizes, prioritizes, and assigns work; prioritizes and schedules case assignments and work activities in order to meet objectives; ensures that subordinates have the proper resources needed to complete the assigned work; and consults with assigned staff to assist with complex/problem situations and provide technical expertise.

  • Coordinates the daily operation of multiple support units or a division within the Fulton County Court System: monitors and evaluates court operations and procedures of assigned units or division; ensures staff compliance with local, state and federal regulations applicable to area of assignment; and assists in the implementation of procedural changes related to new laws and regulations governing court operations.

  • Oversees customer service functions of division: responds to requests for assistance regarding court proceedings, mediation processes, and other related issues; provides information or directs to appropriate party; and initiates/returns calls to clients, attorneys, mediators, and all involved parties as needed.

  • Processes a variety of documentation associated with department/division operations, within designated time frames and per established procedures: receives and reviews various documentation, including complaints, petitions, referral orders, incident reports, caseload files, invoices, and other court related items; reviews, completes, processes, forwards or retains as appropriate; prepares or completes various forms, reports, correspondence, and other documentation, including court orders, mediation packets, informational brochures, meeting agenda, letter of notices, training materials, and performance appraisals; compiles data for further processing or for use in preparation of administrative and operational reports; and maintains computerized and/or hard copy records.

  • Monitors and maintains supplies and equipment for an assigned area. Coordinates and oversees special court programs as assigned: receives and reviews court referrals to programs; conducts initial program interviews and assessments; coordinates/ performs case management duties; provides statistical information, reports and dispositions as required; and prepares and maintains program specific files, documentation and correspondence.

  • Communicates with supervisor, co-workers, Attorneys, Judges, Prosecutors, court staff, mediators, victims, witnesses, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.

  • Maintains a current, comprehensive knowledge and awareness of applicable laws, regulations, principles and practices relating to court operations and administration; reads professional literature; maintains professional affiliations; and attends meetings, workshops, hearings, and training sessions as required.


Qualifications:
Knowledge, Skills, and Abilities:
Requires knowledge of principles and practices of public, business or judicial/court administration. All laws, rules, and regulations governing public and court administrative operations. Court practices and procedures. Legal terminology related to court operations. Techniques used to conduct legal research.

Requires skill in Data Utilization: Requires the ability to evaluate, audit, deduce, and/or assess data using established criteria. Includes exercising discretion in determining actual or probable consequences and in referencing such evaluation to identify and select alternatives.

Human Interaction: Requires the ability to work with others to coordinate the more complex programs and more complex problems associated with the responsibilities of the job. Often represents the department and/or organization when dealing with others.
Technology: Uses spreadsheet, database, word processing, presentation, and other software to research legal issues, organize and analyze information, prepare reports, and create and deliver effective presentations.

Verbal Aptitude: Requires the ability to utilize a wide variety of reference, descriptive, and/or advisory data and information.

Mathematical Aptitude: Requires the ability to perform addition, subtraction, multiplication, and division; the ability to calculate decimals and percentages; the ability to utilize principles of fractions; and the ability to interpret graphs.

Functional Reasoning: Requires the ability to apply principles of influence systems, such as motivation, incentive, and leadership, and to exercise independent judgment to apply facts and principles for developing approaches and techniques to resolve problems.

Situational Reasoning: Requires the ability to exercise judgment, decisiveness and creativity in situations involving the evaluation of information against sensory, judgmental, or subjective criteria, as opposed to that which is clearly measurable or verifiable.

Must be able to demonstrate proficiency in performance of the essential functions and learn, comprehend, and apply all county or departmental policies, practices, and procedures necessary to function effectively in the position.

Education and Experience:
Associate’s Degree in business administration, criminal justice, public safety, or related field required; and three or more years of experience coordinating court programs and services, including progressively responsible supervisory experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

Preferred Qualifications:
Bachelor's degree preferred. Business or court operations, knowledge of the court reporting process , policy development, project management.

Knowledge of Georgia’s Family Law and Domestic Violence Law is preferred.

Licensing Requirements:
May require affirmation as a sworn Deputy Clerk of the Court and Notary Public Certification issued by the Clerk of Superior Court (within county of residence). According to area of assignment, may additionally be required to possess and maintain a valid Georgia driver’s license.

Physical Requirements:
Physical Ability: Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station.

Sensory Requirements: Some tasks require the ability to perceive and discriminate sounds and visual cues or signals. Some tasks require the ability to communicate orally.

Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
