Accounting Operations Coordinator
JOB OVERVIEW:
The Accounting Operations Coordinator is responsible for executing and overseeing key operational accounting processes, with a primary focus on invoicing, vendor bill review, and financial accuracy. This role requires strong attention to detail, effective communication skills, and the ability to collaborate across departments to ensure smooth and accurate financial operations.
KEY RESPONSIBILITIES:
- Execute and manage the customer invoicing process, ensuring timeliness, accuracy, and compliance with service delivery and contract terms.
- Investigate and resolve billing discrepancies through proactive communication with customers and issuing credit memos when necessary.
- Partner with operations teams to validate invoice inputs and confirm all documentation is accurate and complete.
- Review vendor bills for accuracy, approve payments, and maintain compliance with company policies.
- Communicate regularly with customers and vendors to support Accounts Payable (AP) and Accounts Receivable (AR) processes.
- Collaborate with internal operations and support teams to identify and implement process improvements.
- Create and maintain Excel spreadsheets to organize workload, set priorities, and document standard processes.
- Support the monthly financial close process by ensuring all necessary invoices and payment records are complete and reconciled.
WORK ENVIRONMENT:
Work is generally performed in a professional office environment. The noise level is typically low to moderate. The workspace is well lit, climate-controlled, and equipped with standard office furnishings and technology. Team members may work independently or collaboratively, with frequent computer and phone use.
PHYSICAL EFFORT:
Work is generally sedentary, with most tasks performed while seated at a desk or workstation. Occasional standing, walking, bending, or lifting of light office materials (up to 20 pounds) may be required. Extended periods of computer use and repetitive hand movements are common. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Requirements
MINIMUM WORK EXPERIENCE:
- Associate or bachelor’s degree in accounting, Finance, Business Administration, or related field preferred.
- Proficiency in Microsoft Excel and other MS Office applications.
- Strong organizational skills and ability to manage multiple priorities.
- Excellent verbal and written communication skills
- High attention to detail and accuracy in financial documentation
- Ability to work independently while contributing to a collaborative team environment.
