Project Coordinator

Our client is seeking a highly organized and detail-oriented Project Coordinator to join their (State, Local, and Education) team. This role will support large-scale programs, 2 projects for security systems initiative (132 schools) program. You’ll work closely with project managers, vendors, and internal teams to ensure smooth project execution, accurate billing, and timely communication.

Key Responsibilities

Support Division State, Local, and Education programs with a focus on project administration, billing, and vendor coordination.

Handle invoicing, billing contracts, vendor invoices, and document preparation (via DocuSign).

Order and track project materials, ensuring accuracy and timeliness.

Maintain attention to detail with data entry, scheduling, and project documentation.

Build and maintain a schedule of values to ensure financial accuracy and accountability.

Communicate effectively with project managers, vendors, and team members (must be comfortable speaking up).

Manage and track 25–40 invoices per month across 15–20 projects simultaneously.

Support a fast-paced environment with shifting priorities.

Occasionally attend on-site visits (10–15%).

Qualifications

2–4 year degree preferred (Business, Finance, Project Management, or related field).

1–3 years of experience in project coordination, administration, or vendor support (construction, technology, or other fast-paced industries a plus- engineering, construction, security).

Strong financial acumen and ability to manage project budgets and schedules.

Excellent communication and interpersonal skills; ability to interact with multiple teams and vendors.

Proficient in Excel and project/financial management software (Spectrum, NetSuite, Smartsheet's preferred).

Highly organized, detail-oriented, and proactive.

Additional Details

Schedule: 8:00 AM – 5:00 PM (some flexibility, 32–40 hours per week).

Compensation: $25-27/hr

Start Date: Late September (ideal start during the last week of September).
