Job Summary
This position is responsible for providing administrative functions for the Probate Court. Position involves heavy contact with the general public and collections of fees and fines from the public.This is the full performance classification level. This employee may train and lead work of other employees. This position classification is not intended to be and should not be construed as an all inclusive list of all the responsibilities, skills, or working conditions as associated with the position. While it is intended to accurately reflect the position activities and requirements, management reserves the right to modify, add or remove duties and assign other duties as necessary.
Essential Functions

Receives, approves and issues marriage licenses.
Receives, approves and issues Georgia Weapons Carry License.
Prepares affidavits/orders for Mental Health Waivers.
Issue and certifies birth and death records as requested by public and funeral homes.
Creates and maintains all dockets for marriage license and Georgia Weapons Carry License.
Creates and maintains all dockets for birth and death records.
Receipts filing fees and licenses fees.
Assist with reviewing court calendar to ensure all service and notice have been perfected and that all cases are prepared for court.
Coordinates and handles daily mail and distribution of the mail within this court.
Prepares, sorts, and works all court petitions according to need as filed.
Receives, files and enters all cases in the judicial court system and maintains dockets of all actions filed and disposed of in the Probate Court.
Receives, files and audits all annual returns and inventories of minor/adult guardianship cases.
Assist with and in the absence of the Chief Clerk, prepares citations, court notices for all cases filed and pending.
Deals on a daily basis with public in answering, explaining and completing of forms for all matters filed in this court. Particularly administrative matters such as marriage licenses, Georgia Weapons Carry License and other vital records.
Receives and responds to inquiries over the phone and in person.
Prepares written correspondence with attorneys, agencies, applicants, petitioners and other general public.
May perform duties of Chief Clerk in his or her absence.
Performs other related work as may be assigned.
Knowledge, Skills, and Abilities
Knowledge of various Georgia laws and their application to civil procedures filed in the Probate Court.
Knowledge of modern office practices and procedures.
Knowledge of department and unit policies and procedures that apply to records functions.
Skilled in oral and written communications.
Skilled in prioritizing and scheduling assignments
Skilled in operating modern office equipment and software applications.
Ability to establish and maintain effective working relationships with co-workers and supervisors.
Ability to interpret, apply and explain to the general public laws applicable to the Probate Court.
Ability to use discretion in handling confidential information appropriately.
Ability to use tact and courtesy in dealing with public.
Ability to maintain records and compile data.
Must be able to comprehend and apply various changes in local, state and federal laws.

Minimum Qualifications
1) High school diploma or equivalent
2) Five (5) years experience in judicial or legal system
3) Three (3) years minimum experience as a Deputy Clerk I
4) OR equivalent combination of education and experience is also considered.
Preferred Qualifications
1) An associate's degree or paralegal certificate.
