Shift: M-F, 8am-5pm
Pay: $25+/hr. (Dependent on experience)
Job Summary
We are looking for a polished, proactive, and highly organized professional who enjoys working with people and being involved in exciting projects and events. This is a great opportunity for someone looking to gain hands-on experience in marketing, executive event coordination, and corporate operations within a fast-paced professional environment. In this role, you will support executive meetings, customer experiences, marketing initiatives, and special events while working closely with leadership and internal teams. The ideal candidate is detail-oriented, adaptable, customer-focused, and excited to grow their career in marketing, events, branding, or corporate communications.
Essential Job Duties & Responsibilities:
- Serve as the primary point of contact and “face” of the company, ensuring a professional and welcoming experience for visitors, customers, executives, and stakeholders.
- Coordinate Executive Briefing Center scheduling, meeting logistics, room setup, catering/lunch coordination, supplies, and AV requirements.
- Support onsite executive meetings, customer briefings, and special events while ensuring all meeting details are organized and executed smoothly.
- Collaborate cross-functionally with marketing, facilities, leadership, and other internal teams to support EBC operations and customer-facing initiatives.
- Assist with marketing projects, presentations, events, and broader branding initiatives as assigned.
- Maintain accurate meeting documentation, activity tracking, and reporting within internal systems and CRM platforms.
- Support Salesforce.com (SFDC) data entry, updates, review, and cleanup efforts as needed.
- Coordinate and assemble customer materials, presentation packets, and go-live deliverables.
- Identify opportunities for process improvement and support operational efficiencies within the Executive briefing center and marketing team.
- Maintain professionalism, confidentiality, and strong communication while interacting with executives, customers, and visitors.
- Prioritize multiple responsibilities effectively in a fast-paced and highly visible corporate environment.
Qualifications & Requirements:
- Bachelor’s degree preferred, ideally in Marketing, Communications, Business, or related field; equivalent experience considered.
- 1–3 years of experience in marketing coordination, event coordination, executive support, hospitality, client services, or customer-facing administrative roles.
- Strong presence with the ability to interact professionally with customers, leadership, and stakeholders.
- Excellent organizational, multitasking, and prioritization skills.
- Strong written and verbal communication skills with a polished and professional demeanor.
- Ability to think critically, problem solve, and adapt quickly in a fast-paced environment.
- Comfortable managing multiple projects, timelines, and shifting priorities simultaneously.
- Proficiency with Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, and Teams.
- Experience with Salesforce.com (SFDC) or CRM systems is preferred but not required.
- Marketing, event coordination, hospitality, Executive Assistant, or account management experience is highly preferred.
- Tech-savvy mindset with openness to learning new tools, systems, and AI-related processes.
- Ability to occasionally lift up to 15 pounds and stand for extended periods while supporting meetings and events.
