Manager, Facilities
Job Purpose
Intercontinental Exchange is looking for a highly organized and detail-oriented team member to support our Atlanta facility for our rapidly growing organization. This position will be fast-paced and administratively intensive. The ideal candidate will be detail-oriented, proactive, possess exceptional critical thinking skills, is capable of independently managing diverse projects, and fosters strong collaborative relationships with internal teams and external stakeholders to ensure efficient and consistent facility operations.
Responsibilities
- Operational Management & Optimization
- Lead daily facility operations, ensuring a safe, efficient, and aesthetically pleasing environment for all occupants. This includes conducting thorough inspections and walkthroughs, proactively identifying and addressing maintenance needs in collaboration with property management.
- Strategically manage space planning, allocation, and office moves to optimize workflow and accommodate evolving business requirements, overseeing all relocation logistics to ensure seamless transitions for employees and equipment.
- Oversee and coordinate all facility projects, including renovations, repairs, and installations, ensuring completion within budget, on schedule, and to the highest quality standards.
- Maintenance & Vendor Coordination
- Manage and cultivate robust relationships with key stakeholders, including leadership, onsite IT, and administration support teams, ensuring smooth communication and efficient issue resolution.
- Coordinate and manage external vendor relationships, including service level agreement oversight, and invoice reconciliation for services such as, mail, furniture, and other facility-related needs.
- Oversee service call placement and tracking, coordinating with and supervising vendors and repair technicians on premises to ensure work quality and compliance with all safety and operational standards.
- Resource Management & Support
- Manage the daily replenishment of office and kitchen supplies, implementing efficient inventory control and procurement processes to ensure continuous availability.
- Serve as the primary point of contact for all facility-related inquiries and concerns, demonstrating exceptional verbal and written communication skills to effectively interact with staff, vendors, contractors, and leadership.
- Create and manage purchase orders and obtain proper approvals for all vendor orders, demonstrating financial prudence and accountability.
- Facilitate cleanup services for food, drinks, and refreshments for meetings and events, maintaining a high standard of presentation and hygiene.
- Assist in office consolidation and build-out projects, lending support and expertise as needed.
- Provide analysis and make recommendations for facility vendor selection, seeking optimal service and cost-effectiveness.
- Manage contracts and suppliers for office supplies, mail, and building amenities, including negotiation and oversight, ensuring adherence to quality and budgetary standards.
- Provide essential support to property managers for building-related needs, ensuring seamless collaboration.
- Foster and demonstrate an outgoing personality and a flexible approach, adapting to changing priorities and unexpected situations.
Knowledge and Experience
- Experience & Education:
- Minimum of 4 years of progressive experience in facilities management or a related field, demonstrating a strong track record of success in operational oversight, maintenance, and project coordination.
- Bachelor’s degree is preferred in Facilities Management, Engineering, Business Administration, or a related field; however, a High School Diploma or equivalent with relevant professional experience is acceptable.
- Prior experience in a dynamic office environment serving 250+ employees is highly valued.

Exhibits strong negotiating skills to secure favorable contracts and manage vendor relationships effectively.
- Highly Organized & Proactive: Proven ability to manage multiple tasks and projects simultaneously, prioritize effectively, and complete necessary tasks with a high degree of independence and initiative.
- Service-Oriented & Adaptable: Possesses a positive "can-do" attitude and a strong commitment to providing excellent service. Is open to embracing new duties, responsibilities, and change in a dynamic environment.
- Tech-Savvy: Proficient in Microsoft Office Suite, including Excel, Outlook, and Word, and comfortable leveraging technology to streamline processes and enhance operational efficiency.
- Physical & Availability:
- Able to perform the physical duties associated with the role, which may include lifting, moving objects up to 50 lbs, climbing, stooping, kneeling, crouching, and crawling.
- Must be able to work weekends when required to meet operational needs.
