Job Summary
The Executive Assistant to the Office of the President is responsible for complex administrative and programmatic activities that support the Office of the President, the Executive Assistant to the President, and the University President in the absence of the Executive Assistant to the President.
- Manage general and daily operations of the Office of the President.
- Manage reception of visitors/guests to the Office of the President, includes shaping the protocols for the guest experience (e.g., directions, parking, communication, etc.).
- Serve as secretary to all Vice Presidential and executive searches.
- Serve as Sanford Hall building manager for emergency management.
- Manage office purchases and inventory of supplies; manage budgets, as assigned.
- Manage the special initiatives of the University President, as assigned (e.g., planning and logistics implementation for Continuous Improvement Institutes and EAC Retreats).
- Business process completion of all forms at the direction of the Executive Assistant to the President.
- Professional discretion, good judgement, and confidentiality are essential to the job functions.
- Other duties as assigned in service to supporting the activities and success of the Office of the President.
Responsibilities
Manage general and daily operations of the Office of the President
Manage reception of visitors/guests to the Office of the President. This includes shaping the protocols for the guest experience, including parking, communication, etc. Interface with a broad set of constituents, including faculty and staff, parents, and students. Serve as Sanford Hall building manager for emergency management. Maintain schedule for Sanford Hall and Adamson Hall conference rooms. Anticipate leadership needs, proactively solve problems, and/or independently handle issues as necessary. Interpret basic university policies/procedures, help resolve problems, and answer questions from faculty, staff, students, parents, and others. Complete other special projects and duties as assigned.
Provide administrative support
Provide administrative support to the Executive Assistant to the President and the University President in the absence of the Executive Assistant. Use independent judgment to answer and screen all calls, e-mails, and visitors. Direct people to the appropriate department in often tense issues or situations. Assist in maintaining organizational files and assuring the Office of the President's website is current. Manage office purchases and supplies. Manage budgets as assigned. Complete and process various forms for payment and reimbursements (e.g., subscriptions, memberships, registrations, etc.). Provide invaluable proofreading skills.
Coordinate special initiatives/executive searches
Provide programmatic and operational support to the administrative staff for each division of the University. Serve as secretary to all Vice Presidential and executive searches. Manage the special initiatives of the University President, as assigned (e.g., planning and logistics implementation for Continuous Improvement Institutes and EAC retreats). This work includes preparing invitations/agendas, attendee lists, seating charts, travel/lodging, ordering food and supplies, name tags, mass mailings, etc. Business process completion at the direction of the Executive Assistant to the President.
Supervisory
Supervise the Administrative Support to the Office of the President.
Confidentiality
Performs various highly responsible duties for the University President and maintains confidentiality of privileged and sensitive information, not disclosing confidential information from the Office of the President to any person or entity, directly or indirectly.
Other duties as assigned
Other duties as assigned in service to supporting the activities and success of the Office of the President.
Required Qualifications
Educational Requirements
Bachelors degree from an accredited institution of higher education in business, communication, or related field. Minimum Experience
Minimum of 3-5 years of prior experience supporting a senior executive or team or in a similar office setting. Advanced computer skills and demonstrated proficiency with current office software, such as Word, Excel, and PowerPoint. Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with exceptional attention to detail. Excellent interpersonal skills and the ability to build relationships with key stakeholders, including staff, faculty, and external partners and donors. Proficient level of written and verbal communication skills. Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service.
Preferred Qualifications
Preferred Experience
Significant administrative experience in higher education setting. Experience working with senior administrators, executives or governmental officials.
Proposed Salary
The salary for this position will be commensurate with experience.
