SCMHS Administrative Assistant
QUALIFICATIONS: Education: Minimum of high school diploma or GED
EXPERIENCE : 1-3 years in field
REPORTS TO: Principal
RESPONSIBILITIES: The duties and responsibilities of the secretary/bookkeeper of a school are such as those in the list below, but they may be increased, decreased, and otherwise modified
- Maintains books on all school accounts according to Board of Education policy
- Receives and processes all purchase orders for the school
- Keeps principal informed on irregularities of anyone who does not follow school policy concerning purchasing and bookkeeping procedures
- Keeps principal informed on financial matters
- Handles student insurance
- Follows state protocol for managing budgets and handling monies as assigned by the system finance director
- Files accident reports
- Handles correspondence and clerical work for administration
- Processes field trip and fund-raiser requests
- Assist in maintenance of student permanent records
- Assists in maintaining textbook and property inventory information
- Keeps teacher attendance records
- Assists in maintenance of school data reporting system
- Receptionist for the school, answers telephones, takes and delivers messages, etc
- Duplicates and distributes information to the faculty and staff
- Enter student information in school data system
- School FTE (Full Time Equivalent) data entry
- Plans and organizes all school and faculty events
- Schedules school pictures
- Schedules maintenance of all school copiers
- Keeps the school office neat and clean
- Maintains sign-in and sign-out procedures for students
- Obtains assignments for students, parents, and administrators as needed
- Exhibits courtesy and a professional attitude at all times in dealing with the board, school administration, fellow employees, parents, students, and the public
- Demonstrates prompt and regular attendance
- Maintains confidentiality and professionalism regarding students and school system affairs
- Works effectively and cooperatively with administrators, teachers, and staff
- Performs all duties in a timely and effective manner
- Effective oral and written communications
- Maintains a professional appearance as appropriate for job responsibilities
- Complies with state and local laws and policies, including faculty/staff handbooks
- Performance will be evaluated annually
- Performs all other duties as requested by the principal
