Executive Administrative Assistant I

Location: This role requires associates to be in-office 1 - 2 days per week fostering collaboration and connectivity while providing flexibility to support productivity and work-life balance. This approach combines structured office engagement with the autonomy of virtual work promoting a dynamic and adaptable workplace. Alternate locations may be considered.

The Executive Administrative Assistant I will support the VP Chief Product Officer of Carelon and a team of Staff VPs. Is responsible for performing advanced diversified and confidential administrative duties requiring broad and comprehensive experience skills and knowledge of the organization and its policies and practices.

How You Will Make an Impact


Serves as an intermediary between the executive and management customers and associates.
Will support a leader located on the west coast and a team spread across various time zones.
Writes and routes confidential correspondence.
Will be responsible for managing multiple calendars.
Screens handles or distributes incoming phone calls and complaints.
Maintains confidential correspondence and general files.
Orders supplies.
Prepares and tracks budgets.
Coordinates travel plans.
Submits expense reports.
Compiles and distributes meeting minutes.
Compiles information for reports documents and proposals.
Collates and assembles materials makes arrangements for meetings/presentations.
Organizes chart up-dates.
Prepares forms and reviews documentation for conformance with internal policies and procedures.
Utilizes various software packages such as spreadsheet word processing database and graphics to produce high quality reports presentations and documents.
Researches verifies and prepares reports.
Creates and maintains databases.

Minimum Requirements


Requires a HS diploma or equivalent and a minimum of 5 years administrative experience; or any combination of education and experience which would provide an equivalent background.

Preferred Skills Capabilities and Experiences


The ability to build relationships across the organization and partner with other Executive Assistants is strongly preferred.
Skills in resolving conflicts and prioritizing tasks on behalf of the VP is preferred.
Proven experience providing support to multiple executives distributed across various time zones is preferred.
