Finance & Administration Officer
Role Overview:
Support daily financial and operational activities for a U.S. subsidiary. Maintain accurate financial data, process invoices and orders, and ensure smooth coordination between internal teams, external accounting partners, and headquarters.Key Responsibilities:
Coordinate with external bookkeeping/accounting partners for month-end, quarter-end, and year-end closing.
Process vendor invoices, schedule payments, and ensure proper approvals.
Prepare and distribute customer invoices and follow up on payments.
Maintain accurate vendor and customer records.
Enter and process customer orders in ERP/CRM systems.
Ensure consistency between orders, deliveries, and billing; resolve discrepancies.
Collaborate with sales and operational teams on pricing, contracts, and order status.
Monitor inventory movements and reconcile discrepancies; support physical inventory counts.
Identify inconsistencies, propose process improvements, and support ERP system implementation.
Provide administrative support across departments and support overall operational efficiency.
Follow quality, health, and safety procedures; report deviations and propose improvements.
Candidate Profile:
Associate degree in Business Administration or Accounting.
Experience in administrative support with an interest in finance and accounting.
Basic accounting skills (invoicing, expense tracking, AP/AR).
Proficient in Excel; ERP experience (Odoo, Sage100, or similar) is a plus.
Strong analytical, organizational, and problem-solving skills.
Excellent communication and interpersonal skills.
Able to work in a fast-paced environment; proactive and detail-oriented.
Maintains discretion and confidentiality with sensitive information.
French language skills are a plus.
Physical Requirements:
Standard office environment; use of computer, keyboard, and office equipment.
Occasional lifting/carrying of items up to 100 lbs.
Compliance with safety procedures as required.
