The Role

The Staff Accountant plays a critical role as a key member of the Accounting Team. As the owner of the collections, accounts receivable, and invoicing processes, the Staff Accountant communicates regularly with clients and internal stakeholders to efficiently close open invoices with payments. The Staff Accountant maintains financial and client records in the company’s accounting systems, produces reports associated with collections and aging, and assists with the budgeting and closing processes as required.

Essential Functions

  • Verify, allocate, post, and reconcile accounts receivable.
  • Ensure the timely collection of customer payments.
  • Meet established KPIs for timely collections established by the Corporate Controller.
  • Respond to customer inquiries in a timely and courteous fashion and promptly address any invoice discrepancies.
  • Assist in entering all accounts payable vendor invoices for payment.
  • Reconcile general ledger accounts as needed and input accounts receivable entries.
  • Create new customer accounts within accounting systems as needed.
  • Produce error-free accounting reports and present their results.
  • Serve as an accounting and administrative resource to the organization.

Responsibilities

  • Accounts receivable and collections.
  • Support month-end close processes including invoicing and year-end close processes.
  • Accounts Payable entry, review and preparation.

Additional Responsibilities

  • Perform other duties as assigned by the Controller, which may include assisting with other Accounting Department functions, procuring and accounting for office supplies, and assisting with various administrative tasks.
  • Payroll preparation.

Competencies

  • Knowledge of general financial accounting and cost accounting.
  • Understanding of and the ability to adhere to generally accepted accounting principles.
  • Knowledge of accounting processes, advanced accounting systems skills, and advanced proficiencies in QuickBooks and Microsoft Excel.
  • Personal integrity and ability to maintain confidentiality when working with personal and sensitive financial information.
  • Knowledge of GAAP is a plus.
  • Comfortable at effectively communicating with management, customers, and clients.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Exceptional time management, communication, and problem-solving skills.

Educational and Professional Qualifications

  • 3-5 years relevant experience working in accounting, finance, or a closely related field is preferred.
  • Bachelor's degree in Accounting, Finance, or a closely related field is required.
  • Advanced proficiency level with QuickBooks required.
  • CRM experience preferred.

Work Environment

This job operates in a professional office environment and functions in a hybrid work setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands

This role is predominantly sedentary, involving prolonged periods of sitting at a desk and working on a computer. Occasional lifting of up to 25 pounds may be required, along with the possibility of needing to climb ladders, stairs, or navigate uneven terrain to access equipment or work areas.

Position Type and Expected Hours of Work

This is a full-time, non-exempt position. Days and hours of work are generally Monday through Friday, 8:30 a.m. to 5:30 p.m.

Additional Eligibility Qualifications

Candidate must successfully complete background screening and drug screening upon acceptance of position.
