Fleet Administrator

Summary
The Reliable Fleet Administrator is responsible for maximizing efficiency and profitability by managing the vehicles used by Reliable. This includes but is not limited to all fleet logistics, fuel monitoring, timely repairs, preventative maintenance, and all costs and profits due to vehicle wear and tear. This position requires working knowledge of vehicle mechanical and electronic systems and the ability to troubleshoot minor to major problems. Additionally, this position will be required to provide periodic reports to several stakeholders throughout the organization. This position will also provide periodic after-hours and weekend coverage. This position is 100% on site in our Kennesaw, GA location.
Essential Functions
- Serve as the Fleet administrator for ARI.
- Assist Managers in coordinating with ARI to approve or decline all repairs at the best price point.
- Review and approve monthly invoices from ARI.
- Ensure Reliable branded vehicles comply with preventive maintenance parameters and that rebate vendors are being utilized per ARI.
- Assign and recover Reliable vehicles to and from team members and upload/update all applicable demographics to ARI in real time and update assigned vehicles in ADP.
- Document and review necessary paperwork with team members in relation to their assigned vehicle.
- Onboard/Receive new vehicles from local vendors as purchased through ARI.
- Establish and renew fleet licensing in accordance with GDOT, GDS, and EPA requirements.
- Manage fuel card program through ARI: assign new cards, order replacement cards, and deactivate fuel pins when a team member's employment terminates.
- Update and maintain active driver's list.
- Run periodic MVR reports.
- Provide all reports (speeding, vehicle usage, idling etc.) to leadership in Canada and the US.
- Provide weekly speeding reports to the H&S BP and reliable GM.
- Provide a driver behavior report to each Field Manager for their assigned drivers.
- Provide administrative ARI program support to the Reliable management group.
- Assist with providing annual regulatory data to CKI. (KM's driven & fuel liters consumed)
- Conduct periodic safety audits of vehicles during the morning loadouts.
- Assist managers with motor vehicle accident investigation.
- Work with the H&S Business Partner and Auto insurance companies for vehicle incidents/accidents: provide documentation such as pictures and damage estimates.
- Work with the H&S business partner to ensure drivers follow all GA driving laws (speeding, reckless driving, etc.).
- Document all communication with insurance providers for motor vehicle accident repair.
- Oversee DOT compliance and reporting as it relates to the fleet.
- Develop and maintain outside vendor and service provider relationships (onboard new vendors into ARI).
- Additional duties as assigned.
Qualifications
- HS Diploma or GED required, college experience is a plus.
- Prior Industry experience strongly preferred but not required.
- Previous experience managing a fleet of 100 or more vehicles strongly preferred.
- Previous experience with fleet administrative software such as ARI or Fleetio
- Valid driver license and ability to be insured by company insurance provider.
- Excellent interpersonal skills and problem-solving ability
- Advanced computer skills with programs such as ARI, MS Office (word, excel, PPT)
- Advanced verbal, written communication, and negotiating skills.
- Superb attention to detail
- Ability to plan, organize and efficiently manage time and tasks.
- Ability to work on weekends as needed (on call basis)
