Animal Shelter Office Assistant

General Nature of Work The Animal Shelter Office Assistant will be responsible for a wide range of administrative responsibilities. The Animal Shelter Office Assistant position is responsible for directly assisting the public who call and visit the shelter, document scanning and copying, and assisting with the checkout of adoptions, surrenders and assist in answering shelter emails, posting on social media and accepting donations.
JOB RESPONSIBILITIES
- Perform clerical, customer service, and light cleaning duties on behalf of the department. Light cleaning duties may include, but are not limited to sweeping, mopping, doing laundry, and emptying trash bins to maintain a neat and orderly lobby, lounge, and office area.
- Assist in processing adoption applications and setting up adoption and meet and greet appointments.
- Working with Animal Shelter software to enter animal information, schedule appointments, process adoptions, owner reclaims and donations.
- Coordinate with Kennel Attendants and Animal Control Officers in the intaking of new animals.
- Accept donations and payments for adoptions, return to owner fees, ID tags, and microchips.
- Handles cash transactions in an accurate and honest manner.
- Provides receipts for all financial activity and assists with the daily reconciliation of the cash drawer.
- Assist the Animal Shelter Director with taking and maintaining updated photos of animals on Facebook as needed and as time allows.
- Assist the Animal Shelter Director with maintaining and updating social media posts related to the animal shelter and responding to inquires on social media.
- Communicate and coordinate regularly with appropriate staff to maximize the effectiveness and efficiency of departmental activities.
- Creates, updates, and otherwise maintains records, both physical and electronic, so that information including animal description, ownership, medical care, and history are updated consistently.
- Friendly, professional and courteous manner with customers is essential.
- Answer telephone calls for the agency and be able to provide immediate assistance with customers questions or direct the customer to the proper staff.
- Must be able to maintain an organized and clean office/ receptionist space.
- Excellent organizational skills and the ability to multi-task in a fast-paced environment.
- Greet and assist customers at the front desk with directions, general information, or any other questions they may have.
- Maintain positive relationships with co-workers, managers, directors, clients, and stakeholders.
- Counsels and educates the public and potential adopters regarding responsible pet ownership.
- Assists potential adopters by thoroughly screening both animals and customers to determine compatibility; accurately completes all necessary paperwork; charges applicable fees and provides all documents related to the animal transactions.
ADDITIONAL FUNCTIONS
- Must be able to work weekends.
- Performs other related duties as required.
PERFORMANCE APTITUDES
- Specific Knowledge, Skills, or Abilities: Rabies testing procedures; Quarantine principles; Kennel procedures and principles. Ability to interact with impounded dogs, cats and other animals including vicious, stray, sick or injured animals. Ability to handle seeing and dealing with animals that have been abused, neglected or treated cruelly. Ability to learn/perform a variety of animal care related work activities.
- Human Interaction: Requires the ability to exchange information for the purpose of clarifying details within well-established policies, procedures and standards.
- Equipment, Machinery, Tools, and Materials Utilization: Requires the ability to operate, maneuver and/or control the actions of equipment, machinery, tools, and/or materials used in performing essential functions.
- Verbal Aptitude: Requires the ability to utilize a wide variety of reference, descriptive, advisory and/or design data and information.
- Mathematical Aptitude: Requires the ability to perform addition, subtraction, multiplication, and division.
- Functional Reasoning: Requires the ability to carry out detailed but routine written or oral instructions. Involves routine work according to clearly prescribed standard practices, with some latitude for independent judgment.
- Situational Reasoning: Requires the ability to exercise judgment in situations characterized by repetitive or short cycle operations covered by well-established procedures or sequences.
MINIMUM QUALIFICATIONS
- 0-2 years previous experience working with animals in a veterinary hospital, animal shelter, kennel or similar environment is preferred; or any combination of education and experience which provides the skills and abilities for this job.
- High School Diploma or GED.
- Must possess and maintain a valid Georgia driver's license along with a clean MVR check.

Physical Requirements: Tasks require the regular and, at times, sustained performance of moderately physically demanding work, typically involving some combination of climbing and balancing, stooping, kneeling, crouching, and crawling, and that may involve the lifting, carrying, pushing, and/or pulling of moderately heavy objects and materials (20-50 pounds).
Work Environment: Performance of essential functions may require exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, temperature and noise extremes, or traffic hazards, pathogens and bio-hazards.
