POSITION SUMMARY:
ESSENTIAL JOB FUNCTIONS:
Strong interpersonal skills and the ability to interact professionally with employees, customers, and vendors
•Answer incoming calls, forward calls to party, take messages, when necessary and notify (by phone) employees that visitors have arrived.
• Greet visitors in a courteous manner and assist with their inquiries, receive packages, letters, etc., as required. Sign for parcels when necessary.
• Maintain and update Company lists (mobile phone users, project lists, etc.) and contact database.
• Maintain adequate stock of office supplies and order supplies as necessary.
• Responsible for mail distribution, including routing of incoming mail, preparation of correspondence for distribution and packages for shipment..
• May compose and type routine memos, letters, listings, etc., in response to normal correspondence and as backup to other departments.
• Perform basic clerical duties which may include the organization/alphabetization of files, copying, preparation for meetings, etc.
• Perform additional assignments per supervisor’s direction.
JOB REQUIREMENTS:
EDUCATION: Educational requirements include: High school diploma or equivalent.
EXPERIENCE: 3+ years of receptionist experience is required. Knowledge of office methods and procedures, filing, telephone techniques and office equipment as well as English usage, spelling, grammar and punctuation are required.
SKILLS: Incumbent should be able to handle multiple tasks. Able to answer multi phone lines and route calls efficiently. Basic typing (30-40 WPM), data entry, spreadsheet solution and office organization skills required. Proficiency with Microsoft Word and Microsoft Excel .
Physical Requirements
- Ability to sit, stand, and walk throughout the workday.
- Occasionally lift or move office supplies and mail weighing up to 20 pounds.
- Ability to perform repetitive computer and clerical tasks.
