Executive Administrator to the CEO
- Provide general administrative and technical support : Manage technology, calendar/scheduling, and planning of office management needs. In a courteous and timely manner, assess, categorize and prioritize incoming emails, meeting requests, calls and mail to recommend response and/or action by the Office of the CEO. Respond to phone calls, emails and mail, researching additional information and redirecting to the applicable staff member as needed. Follow up on incoming issues and concerns address to the CEO, including those of a sensitive or confidential nature. Arrange complex and detailed travel / transportation / logistics arrangements and itineraries. Process invoices, collect data & compile related reports, including completing expense reports for the CEO. (35%)
- Implement and support effective business practices : Proactively assist with projects and special assignments and create systems to effectively manage workflow including ensuring briefing documents for meetings are prepared on time, preparing correspondence and presentations, and editing business documents and resources. Be flexible to take on last-minute projects as needed. (20%)
- Collaborate with internal and external customers : Positively represent the office of the CEO when communicating with all levels of the organization internally including senior leaders and IBOD members, donors, and with eternal audiences. Garner trust and respect for the office of the CEO to accomplish goals through superior customer service, problem-solving, operational excellence and relational savvy. Prioritize conflicting needs; handling matters expeditiously and proactively. (20%)
- Plan meetings for the CEO and Senior Management Group : Lead events management on behalf of the CEO by managing hospitality arrangements for leadership meetings and the annual retreat. Assist with meeting logistics and coordination as requested. (15%)
- Create systems to manage deadlines and feedback. (10%)
- High school diploma or GED equivalent.
- 5+ years of executive/senior level administrative assistant experience.
- Proactive self-starter mindset that is flexible, collaborative, and solutions-oriented.
- Strong cross-cultural competence.
- Strong organizational skills and attention to detail.
- Commitment to confidentiality of sensitive issues and integrity.
- Outstanding people skills and high emotional intelligence to proactively anticipate needs and interact with all levels of internal and external stakeholders.
- Ability to work autonomously and problem solve within established procedures and practices.
- Excellent written and verbal communications skills.
- Proficiency with Microsoft Office suite.
- Ability to multi-task and prioritize to execute tasks within defined timelines.
- Motivation to work in a mission-driven setting.
- Ability to apply emotional intelligence to communicate effectively, empathize, and identify solutions.
- Willingness to engage in crucial conversations to create mutual purpose.
- Ability to know when help is needed and to ask for it.
- Driver's license.

- Experience or interest in working in a C-suite office.
