We are a locally owned and operated functional medicine practice in Alpharetta near North Point Mall. We’re seeking an experienced office manager who wants to grow with us. You have great organizational skills, a strong customer focus, and can learn on the go. We’re looking for an experienced individual who is a highly motivated, problem-solving, creative individual with a passion for connecting with current and future patients and staff. That passion comes through as she/he engages with customers daily, with the ultimate goal of leading a team of patient-focused providers and staff. The ideal candidate will lead by example and strive to support their staff in every way possible for them to provide the highest level of care to patients.
As the office manager, you’ll be part of the leadership team and directly responsible for effective and efficient day-to-day business activities. Working closely with the primary physician, the Office Manager plans, organizes, and monitors the work of support staff, coordinates workflows, implements approved and appropriate systems, policies, and procedures to maintain service and quality standards, and acts as a resource to clinicians and staff.
The Office Manager is also responsible for monitoring and assessing staff performance and quality of work, actively engages with employees to improve policy and procedural adherence, and promotes a high level of patient satisfaction. This role is very fast-paced, productivity-driven, and requires strong customer service, employee relations, and communication skills with an ability to multitask in a fast-paced work environment.
The Office Manager is responsible for the management of the office personnel and the daily operations of the office.
· Oversees and manages the front office medical assistants, medical scribes, phlebotomist, and supplement store within our clinic.
· Ensures appropriate staffing is provided daily by developing monthly staffing schedules.
· Office Manager will be expected to fill any critical staffing vacancies as they arise.
· Handles routine issues about billing, patient satisfaction, and provider needs.
· Maintains and orders supplies while monitoring and managing expenses.
· Conducts routine chart audits and office inspections to ensure appropriate billing and payment.
· Responsible for the orientation, training, and development of office staff
· Oversees maintenance of the practice website and development of marketing and social media campaigns.
· Assists with employee performance evaluations.
· Ability to clearly communicate thoughts and plans to clients, team members, and administration.
· Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedural manuals.
· Ability to write routine reports and correspondence.
· Ability to speak effectively before groups of customers or employees.
· Ability to hear and understand verbal feedback from clients.
· Ability to use Windows-based applications and EMR, including eClinicalWorks.
· Ability to apply common sense to understanding to carry out instructions furnished in written or oral form.
· Possess a strong work ethic and a high level of professionalism.
Skills & Experience
• 2+ years’ experience in medical office management
• Working knowledge of medical terminology
Working knowledge of pharmaceutical grade supplements, a plus
• Medical office billing experience is an asset
• Proficiency with EMR systems and software applications, including Microsoft Office
Experience with eClinicalWorks a plus
• Must have exceptional attention to detail
• Excellent communication and organizational skills
• Ability to collaborate in a team environment
· Must have a reliable commute to the office each working day
• Qualified candidates must be legally authorized to be employed in the United States
