Accounting Administrative Assistant - (Hybrid) - Remote
Collaborate with the Purchasing Representative to follow up on contracts and maintain contract files.
Maintain an Excel log of all invoicing and ensure proper record-keeping.
Prepare and manage check requests.
Support Managers/Specialists with budget reconciliation and budget procedures.
Code bills for payment and route invoices to the appropriate department members for approval.
Process chargebacks through the Miscellaneous Billing System.
Ensure monthly accruals are accurate and support the monthly reporting process.
Assist with creating expense reports when needed.
Provide phone coverage for managers as required.
What You Bring to the Table: Experience: Previous experience in accounting or billing, with a focus on invoicing, purchase orders, and account reconciliation. Bookkeeping experience is a plus.
Skills: Strong proficiency in Microsoft Word and Excel (intermediate to advanced skills required—must be comfortable creating and working with formulas).
Attention to Detail: Excellent record-keeping skills, both digital (Excel) and physical files.
Communication: Strong follow-up skills, with the ability to chase down necessary information and stay organized.
Problem-Solving: Ability to think on your feet and make sound decisions.
Adaptability: Comfortable with change and eager to learn new systems, such as SAP, Miscellaneous Billing, and Concur.
Teamwork: A collaborative mindset and the ability to work with a diverse group of people.
Confidentiality: A high level of discretion and confidentiality in all tasks.
Qualifications: Ability to multitask and stay focused in a fast-paced environment.
Strong memory and recall for managing records and tracking information.
Comfortable working independently or with minimal supervision.
