Refund/Compliance Administrative Coordinator (Alpharetta)

Reports To: Refund Manager or Compliance Director

Position Overview
The Refund/Compliance Administrative Coordinator supports the Refund Services and Compliance team by managing and processing administrative tasks associated with client refund claims, filings, and documentation. This role plays a critical part in ensuring timely and accurate delivery of refund services, supporting both internal consultants and external clients. The ideal candidate is highly organized, deadline-driven, and detail-oriented, with a strong ability to follow structured processes and maintain accurate records.
Key Responsibilities
- Document Management: Organize, scan, upload, and archive client refund documentation, including fuel receipts, tax forms, and carrier records.
- Filing Support: Assist in preparing and submitting refund claims to various jurisdictions, ensuring all required documentation is included.
- Data Entry & Review: Input and validate refund-related data in proprietary systems and spreadsheets with a high level of accuracy.
- Communication: Coordinate with clients and internal teams to request missing documentation or clarify discrepancies.
- Workflow Tracking: Monitor and update the status of refund cases in Asana or other project tracking tools.
- Compliance: Ensure all filings meet company and regulatory guidelines, including deadlines and documentation standards.
- Reporting: Generate regular reports for internal tracking of refunds filed, pending, and completed.
- Process Improvement: Identify inefficiencies in administrative workflows and contribute suggestions to improve process quality and turnaround time.
Qualifications
- Education: Associate or bachelors degree preferred, ideally in Business Administration
- Experience: None required
- Technical Skills: Proficient in Microsoft Office Suite (especially Excel) and Adobe Acrobat
- Other Skills:

- Comfortable handling sensitive or confidential client data
