Job Summary
The Project Coordinator provides administrative and project support to the Project Manager, project team, and executive leadership, including direct assistance to a Vice President. This role supports engineering and construction projects by coordinating project documentation, financial tracking, reporting, and communications to ensure efficient and timely project delivery. The ideal candidate has advanced PowerPoint skills and strong organizational abilities, with marketing experience considered a plus.
Job Description
- Assist the Project Manager in preparing client contracts and subcontracts, coordinating reviews with Legal, Insurance, Purchasing, Safety, and other internal departments
- Manage project setup in the corporate Management Information System and generate reports to communicate project financial status and progress
- Coordinate communication between vendors, subcontractors, clients, and internal project teams to support project execution
- Prepare meeting notes, reports, and presentations using Excel, PowerPoint, Word, and other tools
- Monitor project schedules, deadlines, and benchmarks, and assist in preparing monthly progress reports and presentations
- Coordinate and facilitate on-site and off-site meetings, including stakeholder meetings, team meetings, training sessions, and project reviews
- Maintain project document control by organizing and managing electronic and physical project files
- Coordinate project personnel training records to ensure compliance with corporate and project requirements
- Work with the Accounting Department to review invoices, expense reports, and trip tickets for accuracy and compliance
- Provide follow-up reports on accounts receivable and unbilled items as assigned
- Assist with project closeout activities and cost forecast updates
- Develop and maintain internal project procedures and documentation
- Ensure compliance with company policies, procedures, and standards
- Provide administrative and project support directly to executive leadership, including the Vice President
- Perform additional duties as assigned
Skills Required
- 8-10 years of relevant work experience
- Advanced proficiency in Microsoft PowerPoint, Excel, and Word
- Strong presentation creation and reporting skills
- Excellent organizational and time management skills
- Strong verbal and written communication skills
- Ability to work independently and manage multiple priorities
- Strong attention to detail and problem-solving skills
- Ability to communicate effectively with all organizational levels
- Experience supporting engineering, construction, or technical projects preferred
- Marketing background is a plus
Education/Training/Certifications
- High School Degree or GED with 11 years of relevant experience
- Associate or Bachelor’s Degree in a related field with 8-10 years of relevant experience preferred
Pay Rate/Salary
- Pay Rate $28-30/ hr (Actual compensation is subject to variation due to such factors as education, experience, skillset, and/or location)
