Position Summary

The Project Manager I will manage the project plan for a variety of projects (basic to the most complex). Projects may be with small to mid-sized projects for existing clients, new client full-scale deployments, and new and existing state, and federal agency full-scale deployments for our full suite of products/services. Projects will range from small to large, established products to new product offerings, and from basic to extremely complicated. Projects assigned to the Project Manager I will often be complex in technical and business matters with requirements that may be new to the organization. Responsible for managing project plans, oversight of project controls, facilitating meetings, project metrics collection and assessment, risk management, contract management, and contingency planning. Work is highly independent with limited supervision.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

· Manage complex projects for new and existing clients responsible for initiating, planning, executing, monitoring/controlling, and closing the project ensuring all projects are delivered on time, within scope and budget.

· Manage multiple complex projects within the organization’s project portfolio.

· Report incidents to management and escalate as needed.

· Create and utilize established company tools, templates, and standard operating procedures to manage projects.

· Mentor and train team members on standard operating procedures and best practices. Maintain lessons-learned registry with feedback from the team members.

· Monitor, coach, and report team performance to the Manager, Program Management.

· Perform other duties as assigned.

· Travel requirements: up to 20% and may include overnight travel (ground and air)

Initiating/Planning

· Identify and perform stakeholder analysis for the project.

· Review, understand, and interpret client contracts to build a project plan.

· Develop the project schedule within the standards of the department.

· Obtain and coordinate applicable project resources (site survey, uniforms, installation, and training) for project execution.

· Develop scope of work for third-party installers issuing a purchase order for the quoted services.

· Communicate the project timeline to stakeholders; adhering to the departmental deployment standard.

· Identify, manage, and document high-level risks, assumptions, and constraints to include confirmation of client payment and ensuring all equipment/resources are onsite.

· Lead the project kickoff meeting by educating the client and providing an overview of the project deliverables and timeline of the project.

Monitoring/Controlling

· Design and control project kick-off process and ensure customer requirements are met within a detailed statement of work.

· Leads an interdepartmental team to set expectations, and address questions, concerns, and/or complaints to ensure the project is on time, to specification, and with accuracy and efficiency.

· Liaise between cross-functional teams, external vendors, and other stakeholders to ensure deliverables, requirements, schedules, cost, and meeting plans are communicated.

· Conduct and document project meetings (kick-off, status, and closeout) with clients and other stakeholders.

· Manage ongoing changes to the project scope, project schedule, and project costs using appropriate verification techniques.

· Research and identify new methods or best practices to resolve unfamiliar issues.

· Meet budgetary objectives and adjust project constraints based on financial analysis regularly.

· Proactively manage the timeline by which a project’s tasks, milestones, or deliverables are met using creative problem-solving skills and negotiations.

· Monitors task completion status to identify at-risk project tasks and develop a mitigation plan as needed to keep the project on track.

· Manage project communications to influence and ensure stakeholder engagement.

· Create and maintain comprehensive project documentation for historical data.

· Update the status of the project (daily) in the project management software.

· Communicate the overall project progress to senior management on an ongoing basis.

Closing

· Obtain final acceptance from the client and measure client satisfaction with the project.

· Conduct a smooth transition to the Client Success team upon project completion.

· Contribute feedback and lessons learned to improve processes and the overall project approach as needed.

Minimum Qualifications (Knowledge, Skills, and Abilities)

· Bachelor’s degree or equivalent work experience is required.

· 5+ years of proven work experience in project management, coupled with hands-on experience with Coreforce products and services, is preferred.

· Experience in strategic planning, risk management, or change management is required.

· Project Management Professional (PMP) is required.

· Six Sigma Green Belt Certification is highly preferred.

· Possess a professional presence (communication and appearance) with the ability to effectively influence stakeholders and resolve conflict.

· Excellent communication (written and verbal) skills with the ability to effectively communicate to audiences at different levels (IT, officers, law enforcement leadership, city council, and mayors) by modifying the message/language based on the audience.

· Excellent interpersonal skills with the ability to work well in a team with diverse personalities.

· Must have effective listening skills with a proactive client service focus.

· Ability to be assertive, take initiative, and be a proactive change agent.

· Ability to work independently, prioritize, and complete tasks in an organized, efficient, and effective manner.

· Must be able to perform under a high-stress, deadline environment making sound decisions while maintaining a calm, confident demeanor.

· Ability to be responsible and responsive to deliver on the company’s commitments to the client.

· Proven ability to multi-task with multiple projects and be flexible to changing demands.

· Ability to effectively problem solve weighing multiple options to keep the project on time and within budget.

· Possess excellent attention to detail to ensure flawless project execution on time and within budget.

· Strong computer aptitude with proficiency with MS Office Suite and Google Workspace is required.

· Experience with project management software tools such as Monday.com and ERP software such as NetSuite is preferred.

Physical Demands and Work Environment

The physical demands described here must be met by an employee to perform the essential functions of this position successfully. Regular movement within the office is required to access file cabinets, office machinery, and other resources. This role involves continuous operation of a computer and other office productivity machinery, tools, including a printer, and computer. Regularly, the employee changes their body position to assist in moving objects or gaining access to items. The capacity to convey information and concepts effectively for mutual understanding must be possessed by the employee. They must also possess the capability to share precise details during such interactions. Specific vision capabilities, particularly the ability to observe details at close range (within a few feet of the observer), are essential for performing tasks accurately. This role involves the occasional transportation of boxes weighing between a minimum of 10 pounds and a maximum of 50 pounds throughout the office to fulfill diverse demands.
