Job Overview:
The Cardiology Front Desk Receptionist plays a vital role in managing the administrative functions of a cardiology practice or clinic. This position is the first point of contact for patients and visitors, providing a welcoming environment while handling a variety of tasks including scheduling appointments, managing patient records, answering inquiries, and supporting the overall smooth operation of the office.
Key Responsibilities:
Patient Interaction:- Greet patients and visitors in a friendly and professional manner.
- Check patients in for their appointments and ensure all necessary paperwork is completed accurately.
- Verify patient demographic and insurance information.
- Answer phone calls, schedule patient appointments, and direct calls to the appropriate department or staff.
- Provide information about the practice's services, cardiology procedures, and treatment plans.
- Assist patients with billing inquiries, appointment rescheduling, or any general concerns.
- Notify patients of delays or changes in their appointment schedules.
Scheduling and Appointment Management:- Schedule and confirm patient appointments, including follow-up visits and tests such as EKGs, stress tests, and echocardiograms.
- Manage the practices appointment calendar, ensuring proper time management and minimal scheduling conflicts.
- Coordinate with cardiology staff to prioritize and schedule urgent or special appointments.
- Send appointment reminders to patients by phone or email.
Administrative Support:- Maintain and update patient records in the electronic health record (EHR) system.
- Prepare patient charts and documents for appointments, ensuring accuracy and confidentiality.
- Process patient check-out, including obtaining co-pays, handling insurance information, and scheduling additional appointments.
- Maintain an organized front desk area, keeping it neat and professional.
- Monitor and respond to email correspondence from patients, vendors, or other staff.
Billing and Insurance Verification:- Collect and verify patient insurance information during check-in.
- Assist with processing billing statements and submitting insurance claims or payment inquiries.
- Ensure that patients understand their insurance coverage, co-pays, and out-of-pocket costs.
Collaboration and Communication:- Coordinate with medical assistants, physicians, and other healthcare professionals to ensure efficient patient flow.
- Communicate with patients about cardiology procedures, including preparation for diagnostic tests and any instructions from the doctor.
- Maintain confidentiality and comply with HIPAA regulations when handling patient information.
- Assist in maintaining an efficient and organized work environment, managing patient records and office supplies.
Qualifications:
High school diploma or equivalent required; some college or administrative training is a plus.- Previous experience in a front desk or receptionist role, preferably in a healthcare or cardiology setting.
- Basic knowledge of medical terminology, particularly in cardiology, is preferred.
- Proficiency with office software, including Microsoft Office and electronic health record (EHR) systems.
- Ability to handle multiple tasks and prioritize in a busy, fast-paced environment.
- Strong communication, interpersonal, and organizational skills.
- Friendly and professional demeanor with excellent customer service skills.
- Attention to detail and ability to maintain patient confidentiality.
- Basic knowledge of insurance verification and billing processes preferred.
Physical Requirements:
Ability to sit for long periods and manage a desk environment.- Occasional lifting of office supplies or patient files.
- Ability to work under pressure and handle stressful situations in a calm and effective manner.
Work Environment:
This position typically works in a medical office or cardiology practice. The front desk receptionist will interact regularly with patients, medical staff, and visitors, ensuring a welcoming and organized environment.
