We are seeking a highly organized and proactive Admin Assistant / Sales Assistant to support the Owner in managing client accounts, sales tasks, and day-to-day business operations. This role combines elements of executive support, account management assistance, office coordination, and event planning. The ideal candidate is detail-oriented, thrives in a fast-paced environment, and has strong communication skills—especially through email and client correspondence.
Key Responsibilities
- Executive Support & Office Management
- Manage calendars, schedule meetings, and coordinate travel.
- Organize office operations, files, and internal communication.
- Draft, edit, and send professional emails on behalf of the Owner.
- Prepare reports, presentations, and correspondence.
- Sales & Account Management Support
- Assist the Owner with client communication and follow-up, primarily via email.
- Support in creating estimates, proposals, and contracts.
- Track client accounts, timelines, and deliverables.
- Help manage CRM updates and client relationship tasks.
- Event & Project Coordination
- Assist in planning and executing live events and productions.
- Coordinate vendor relationships, logistics, and timelines.
- Provide on-site or remote event support when needed.
- Financial & Administrative Tasks
- Support with expense tracking, invoicing, and billing processes.
- Help monitor budgets and project financials.
- Maintain records and ensure accuracy of client documentation.
Qualifications
- Proven experience as an Executive Assistant, Event Coordinator, Project Coordinator, or similar role.
- Strong background in event coordination or planning (preferred).
- Exceptional written and verbal communication skills, with an emphasis on professional email correspondence .
- Excellent organizational and time-management skills.
- Proficiency with Microsoft Office Suite, Google Workspace, and CRM tools.
- Ability to multitask and work independently with minimal supervision.
- Comfortable in a dynamic, entrepreneurial environment.
