Operations Associate

Are you living in Atlanta and passionate about making a difference in the lives of individuals experiencing homelessness and hunger in our city? Intown Cares, a 501(c)(3) nonprofit leading the Atlanta community in homeless outreach and food security programs, is seeking a motivated and collaborative Operations Associate to join our growing team. Founded in 2010, Intown Cares has grown tremendously, more than doubling in size over the past five years. Last year, our 28+ passionate team members housed more than 200 individuals and provided food to more than 5,000 people. The Operations Associate will play a critical role in continuing this success and growth.
What You’ll Do
The Operations Associate plays a pivotal role in ensuring Intown Cares runs efficiently and effectively across Office Management, Vehicle Management, Vendor Relationships, Finance, Human Resources, and Technology Support. This role keeps our administrative processes running smoothly, ensures timely responses to staff needs, and maintains the tools and systems that support our programs and fundraising efforts.
You’ll work closely with the Director of Finance & Operations and regularly interact with leaders across the organization. Success in this role requires strong process-management skills and attention to detail along with excellent communication and collaboration.
Qualifications
- High School Diploma or equivalent; Associate’s or Bachelor’s degree preferred
- At least 2 years of experience in an administrative support role
- Highly process oriented with exceptional attention to detail
- Proficiency in Microsoft Office, especially Outlook, Excel, and Word
- Experience with tools such as SharePoint, Asana, and Adobe a plus
- Excellent verbal and written communication skills
- Strong ability to work cross-functionally, collaborating effectively with diverse teams
- Ability to manage multiple priorities in a fast-paced environment
- Passion for sharing your gifts and talents with neighbors experiencing homelessness and hunger
Responsibilities
Operations and Administration
- Lead the development, evaluation, and maintenance of operational policies and procedures (in collaboration with Director of Finance & Operations)
- Improve processes for project management, information tracking, and staff support, utilizing Asana project management software
- Proactively manage vehicle maintenance plan and repairs
- Manage vendor relationships (tech support, mobile phone provider, mechanic, insurance brokers, landlord, facility managers, etc.)
- Utilizing SharePoint, maintain organizational records and renewals, including licenses, registrations, insurance documents, and vehicle records
- Coordinate logistics and communications for Board, staff, and other meetings
- Support and manage annual insurance reviews, renewals, and audits
- Order office supplies in a timely and cost-effective manner
- Coordinate with staff to complete monthly programmatic reporting to ensure compliance
- Perform other duties as assigned to support Intown Cares’ mission
Finance (Accounts Payable)
- Manage the full AP cycle: upload invoices, process payments, and code expenses to appropriate department and accounting line
- Resolve billing/payment issues and negotiate with vendors for best pricing
Technology Support
- Set up and train new employees on use of SharePoint, Outlook, Asana, password management, expense management, and other tools
- Provide first-line basic tech support and coordinate with outside tech support
- Manage inventory of technology devices, including computers and mobile phones
Human Resources
- Coordinate a smooth onboarding process for new hires
- Facilitate the delivery of employee engagement surveys
- Assist with communications for annual performance reviews and goal setting
- Advise on and support annual benefits open enrollment and HR policies and procedures
Supervision
The Operations Associate reports to Intown Cares’ Director of Finance and Operations.
Work Hours and Location
The Operations Associate position is a full-time, 40 hours per week position. While some of the responsibilities of the role can be completed remotely, the majority of the work necessitates consistent presence in Intown Cares’s Atlanta office.
Compensation and Benefits
The Operations Associate position is a salaried position with an annual base salary range of $54,000-$60,000, which will be paid in equal installments every two weeks according to Intown’s regularly scheduled paydays. Benefits include healthcare, dental, and vision insurance—with employer contributions—as well as healthcare and dependent care FSAs, 401k retirement plan, professional development resources, and generous personal and vacation days off.
This position is exempt and therefore not eligible for overtime pay for any additional hours worked. The position is eligible for all employee benefits, mileage reimbursement in accordance with the applicable IRS mileage rate at the time expenses are incurred for pre-approved business travel, and a portion of personal mobile phone bill.
