Executive Assistant
Position Summary:
The Executive Assistant supports both Operations and Sales leadership, providing reporting, presentations, meeting scheduling and management, and other administrative tasks. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.
This position will be in the Kennesaw office Monday – Friday.
Key Responsibilities:
- Provide administrative support to the Leadership including scheduling, coordination, and follow-up on key initiatives.
- Assist with operational projects, internal processes, and cross-functional coordination.
- Prepare reports, presentations, and internal documentation as needed.
- Assist in preparing sales materials, proposals, and reports.
- Track sales activities and help ensure timely follow-ups and task completion.
- Enter, update, and maintain accurate records in HubSpot, including contacts, companies, quotes, orders, and activities.
- Ensure data integrity and consistency across the CRM.
- Create and maintain reports and dashboards to support sales and leadership decision-making.
- Take initiative to investigate and resolve issues and concerns with customers, employees, vendors, and other contacts. Implement appropriate action to ensure problems are overcome.
- Manage calendars, schedule meetings, and coordinate logistics for internal and external meetings.
- Prepare agendas, take meeting notes when required, and distribute action items.
- Coordinate travel arrangements and meeting logistics as needed.
- Complete special projects and perform other duties as requested.
Skills & Qualifications:
- Bachelor’s Degree in Business preferred or equivalent relevant experience.
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
- Strong organizational and time-management skills with exceptional attention to detail.
- Experience using HubSpot or similar CRM systems (preferred)
- Proficiency in Microsoft Office and/or Google Workspace.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Comfortable working independently and supporting multiple priorities.
- Strong problem-solving and follow-through skills.
- Ability to adapt quickly in a dynamic, fast-paced environment.
