Position Summary

The Customer Service Administrator plays a critical role in supporting customers throughout the home improvement process—from initial lead inquiry to project completion. This position is responsible for delivering exceptional customer experience, coordinating service schedules, ordering materials and ensuring accurate administrative support for sales, production, and installation teams.

Key Responsibilities

• Serve as the primary point of contact for homeowners via phone, email, and online inquiries
• Respond promptly to questions regarding roofing, siding, windows, doors, gutters, warranties, and project timelines as provided by the project managers
• Schedule sales appointments, inspections, installations, and follow-up service visits
• Coordinate daily and weekly schedules with sales representatives, project managers, and inspection technicians
• Create, update, and maintain customer files, contracts, permits, and job documentation
• Process work orders, change orders, and service requests accurately
• Communicate project updates, delays, and completion notices to customers in a clear and professional manner
• Assist with invoicing, deposits, payments, and warranty documentation
• Handle customer concerns or complaints with professionalism, escalating issues when necessary
• Support internal teams with reporting, data entry, and administrative tasks
• Ensure compliance with company policies, safety standards, and local regulations

Qualifications

• High school diploma or equivalent required; associate’s degree preferred
• 1 - 3 years of experience in customer service
• 1 - 3 years of experience in administration. Home improvement/construction environment preferred
• Strong verbal and written communication skills with a customer-first approach
• Proficiency with Microsoft Office (Word, Excel, Outlook), Basic to Advanced Computer Skills, and CRM or scheduling software
• Ability to manage multiple projects and deadlines in a fast-paced environment. Ability to Multitask.
