Preconstruction Coordinator
Location: Marietta, GA
Position Type: Full-time Hybrid
Position Summary:
We are seeking a highly detailed, organized, and motivated multitasker to join our team as the Preconstruction Coordinator. This role is crucial and integral to managing and supporting the company's estimating efforts. This position requires excellent organizational skills, a proactive attitude that is highly valued, and the ability to manage multiple tasks effectively.
Key Responsibilities:
Project Documentation Management:
Ø Organize and manage all project-related documentation, including plans, specifications, and amendments.
Ø Ensure that all documents are up-to-date and easily accessible to the preconstruction team.
Bid Package Preparation:
Ø Assist in the preparation of bid packages, proposals, and presentations.
Ø Ensure that all bid documents are complete, accurate, and submitted on time.
Scheduling and Coordination:
Ø Coordinate project schedules and deadlines.
Ø Track critical dates and ensure that all team members are aware of upcoming milestones.
Subcontractor and Vendor Communication:
Ø Communicate with subcontractors and vendors to gather pricing, availability, and other necessary information.
Ø Maintain a database of reliable subcontractors and vendors.
Ø Call subcontractors to engage them early in the bidding process and ensure their participation.
Subcontractor Bid Management :
Ø Manage subcontractor bid management on Building Connected.
Ø Gather subcontractor RFIs and work with estimators to submit project RFIs.
Ø Ensure timely and accurate distribution of bid invitations and follow-ups.
Estimating Support:
Ø Assist estimators in gathering and compiling necessary project data.
Ø Enter data into estimating software and maintain estimating databases.
Ø Utilize On-Screen Takeoff and Quick Bid for accurate takeoff and estimating tasks.
Administrative Tasks:
Ø Handle administrative tasks related to the preconstruction process, such as filing, document control, and data entry.
Project Management System Coordination:
Ø Manage bidding projects in OneDrive, On-Screen Takeoff, Quick Bid, Building Connected, and Monday.com.
Ø Ensure all project management systems are up-to-date and properly maintained.
Client and Stakeholder Interaction:
Ø Serve as a point of contact for clients during the preconstruction phase.
Ø Coordinate with architects, engineers, and other stakeholders to gather and communicate all necessary information.
Meeting Coordination:
Ø Schedule and coordinate meetings with internal teams, clients, and subcontractors.
Ø Prepare agendas, take meeting minutes, and distribute them to relevant stakeholders.
Bid Calendar Management:
Ø Maintain and update the bid calendar, ensuring all deadlines are met.
Ø Track and follow up on bid submissions and outcomes.
Cost Comparison and Analysis:
Ø Compile and compare subcontractor bids to assist estimators in selecting the most competitive and qualified bids.
Requirements
Candidate Requirements:
Education:
Ø Bachelor’s degree in Construction Management, Engineering, Architecture, or a related field preferred. Equivalent work experience will be considered. If these aren’t met, we will also consider a candidate who has demonstrated the skill set defined below, where they have proven they can learn quickly and evolve.
Experience:
Ø Minimum of 2 years of experience in a construction or preconstruction role. Experience in commercial general contracting is a plus.
Skills:
Ø Strong organizational and multitasking abilities.
Ø Excellent communication and interpersonal skills.
Ø Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Ø Experience with estimating software (e.g., Bluebeam, On-Screen Takeoff, Quick Bid).
Ø Familiarity with subcontractor bid management software (e.g., Building Connected).
Ø Attention to detail and a high level of accuracy.
Ø Critical thinking skills are a must
Ø Strong work ethic as work weeks can regularly extend beyond 40 hours a week.
Ø Self-starter who doesn’t require management directives to perform their work
Ø Ability to think outside the box and recommend to management if they identify a better way to perform a task.

Industry Knowledge:
Ø Familiarity with construction industry standards, practices, and regulations.
Software Proficiency:
Ø Proficiency in estimating and cloud-based software.
Certifications:
Ø Relevant certifications such as LEED AP, PMP, or similar.
Interpersonal Skills:
Ø You have demonstrated working effectively in a team environment and coordinating with multiple stakeholders.
Problem-Solving:
Ø Strong problem-solving skills and ability to think critically under pressure.
