Pre-Trial Services Clerk

Summary Objective
The purpose of this position is to provide essential administrative and program support for defendants placed in a pay-only pretrial program by the Solicitor’s Office, including monitoring financial obligations, tracking assigned community service requirements, and maintaining accurate records. This position ensures defendants are informed of court-ordered conditions and supports compliance by providing updates to the Court and Solicitor’s Office. The Clerk serves as a liaison between the Municipal Court, Solicitor’s Office, community service agencies, and defendants to support accountability, timely completion of obligations, and efficient case processing.
This class works under general supervision and reports major activities through periodic meetings.
Essential Functions
The essential functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions related to the type of work of the class as necessary.
- Opens, updates, and closes case files, entering updates into Municipal Court system.
- Monitor defendants in the pretrial program by tracking payments, balances, and due dates for compliance.
- Communicate payment expectations, deadlines and reminders with program participants.
- Maintain accurate records of payment activity.
- Notify appropriate staff of missed payments or non-compliance.
- Coordinate and assign community service placements with approved agencies.
- Maintain list of approved community service organizations.
- Maintain accurate logs of service hours, hours completed, completion status and verify and collect supporting documentation.
- Follow up on incomplete or overdue service requirements.
- Maintain accurate case files and documentation for each assigned defendants.
- Serves as point of contact for defendants regarding program requirements.
- Coordinate with Municipal Court staff and the Solicitor’s Office.
- Strong organizational, record-keeping, and data tracking skills
- Ability to communicate clearly and professionally with diverse populations
- Prepares reports, summaries, and updates for court hearings and/or internal review.
- Assist with compliance tracking in accordance with court policies and procedures.
- Performs related work as assigned.
Minimum Education and Experience Requirements:
- High school diploma or GED required. Associate’s Degree in Criminal Justice, Public Administration, or related field preferred.
- Three (3) years’ experience in court administration, customer service, or administrative support.
- Basic knowledge of court processes and procedures.
Physical Demands:
Physical demands refer to the requirements for physical exertion and coordination of limb and body movement.
- Performs sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a regular and recurring basis or sustained keyboard operations.
