People Operations Coordinator
The People Operations (POPs) Coordinator plays a pivotal role in supporting various People Operation functions, the company’s leaders and team members, and projects within the organization. Reporting to the Director of Total Rewards and HRIS, this position provides comprehensive support across all areas of HR operations, including benefits administration, HRIS management, project coordination, and administrative support to the POPs team.
Responsibilities:HRIS Management and Data Entry:
• Review and process approved changes in the Human Resources Information System (HRIS), including, but not limited to, new hires, terminations, job changes, compensation adjustments, department transfers, and benefits elections.
• Ensure the accuracy and completeness of all data within the HRIS. Maintain team member records and confidentiality while adhering to data privacy regulations.
• Owner of the Form I-9 and E-Verify process, conducting internal audits and ensuring compliance with legal requirements.
Benefits Administration:
• Compile weekly benefits claims invoices and submit to Finance for visibility.
• Provide monthly Flexible Spending Accounts (FSA) account balance reports to Finance.
• Manage Healthcare Spending Account (HSA) pending verification process, including outreach to team members provide additional documentation to administrator as needed.
• Assist team members and leaders with questions related to benefits programs, leaves of absences, and other People Operations programs.
• Assist in the planning and coordinator of annual open enrollment. Review and process benefits changes in the HRIS. Ensure elections adhere to benefits policies and gather any documents as necessary, including Evidence of Insurability forms.
Team Member Support and Inquiries:
• Manage shared People Operations inbox and respond to team member and leader inquiries maintaining a 48-hour response time window. Maintain working knowledge of People Operation’s programs, policies and practices.
• Generate regular and ad hoc reports from various HR systems and must be knowledgeable in Excel.
• Timely process employment verification requests.
Leave Administration:
• Assist in the administration of employee leaves of absences, including Family Medical Leave Act (FMLA), Americans with Disability Act (ADA), and other company-sponsored leave programs.
• Coordinate with the external leave administrator to manage assigned leave cases.
• Serve as a point of contact for team members and leaders regarding leave inquiries and processes, providing guidance and support throughout the leave period.
• Communicate with Payroll to provide payment information for team members on leave.
• Assist team members by reminding them to review their benefits elections within a timely manner if the leave qualifies as a life event change.
• Monitor benefit premiums during leave periods, communicate repayment plan, and coordinate with Payroll to collect any missed premiums from the team members upon their return to work.
Compliance and Documentation:
• Ensure compliance with COBRA regulations.
• Maintain accurate physical and digital employee files and responsible for timing filing.
• Document new and updated processes and maintain accurate reference guides.
• Assist the People Operations leadership with maintaining the most up-to-date documents on the intranet and within the HRIS.
• Coordinate the unemployment insurance process in a timely manner including reviewing and researching documentation, working with the POPs team members, leaders, third-party vendor and the State department to ensure proper procedure and process and resolution.
• Maintain confidentiality and integrity of employee information.
Other:
• Keep leader informed of critical issues.
• Assist with due diligence and merger and acquisition activities as needed.
• Assist with data entry audits as necessary.
• Other duties as assigned.
Qualifications:Education:
• Associate’s or bachelor’s degree in human resources, business administration, or related field preferred.
• High school education or equivalent required.
Prior Experience:
• Prior experience in HRIS management, benefits administration and leave of absence administration. Preferably 4+ years.
Special Qualifications:
• Strong proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint
• Excellent organizational skills and attention to detail, with the ability to prioritize and multitask effectively.
• Strong communication skills to interact professionally in oral and written platforms with team members, leaders, and external vendors.
• Maintain confidentiality and integrity of employee information.
• Ability to navigate change with a positive attitude.
• Self-motivated, the ability to learn and execute processes with limited guidance.
