Practice Manager

Manage the activities of this single location OB/GYN medical practice. This position is responsible for billing, for the financial performance of the revenue cycle, directing and coordinating administrative services and establishing workflow standards to improve efficiency and effectiveness in the office while supervising medical, nursing and clerical staff to ensure quality patient care.

KEY RESPONSIBILITIES:

  • Staff Management:

  • Supervise supervisors, coordinators, clinical, and administrative staff while fostering a positive and professional work culture.
  • Conduct performance evaluations, 90-day reviews, and disciplinary actions as necessary.
  • Oversee recruitment, interviewing, hiring, and onboarding of new staff and providers.
  • Ensure ongoing staff development through training, certifications, and continuing education.
  • Manage staff schedules and time-off requests to maintain appropriate coverage.
  • Lead regular staff meetings and ensure clear communication of policies, procedures, and updates.
  • Operational Oversight:

  • Ensure smooth daily operations, resolving technical and administrative challenges quickly.
  • Coordinate administrative requirements with hospitals and external partners.
  • Address and resolve escalated patient complaints and billing concerns.
  • Vendor & Partner Relations:

  • Build and sustain relationships with suppliers, sales representatives, contractors, and hospital contacts.
  • Monitor and negotiate vendor contracts for cost efficiency.
  • Coordinate vendor, physician, and administrative meetings.
  • Compliance & Credentialing:

  • Ensure all staff and providers maintain current licenses, certifications, and system access.
  • Work with insurance companies and credentialing contacts to ensure accurate billing, licensing, and provider privileges.
  • Financial & Reporting Duties:

  • Oversee collections, deposits, payroll, and financial reporting.
  • Run weekly, bi-weekly, and monthly reports (financials, staffing, productivity, etc.).
  • Partner with contractors and vendors to secure cost-effective equipment and supplies.
  • Collaboration & Communication:

  • Maintain strong communication with physicians, central billing office, and corporate leadership.
  • Represent the practice in management meetings and lead internal staff/provider meetings.
  • Oversee patient engagement processes, including recalls and routine appointment scheduling.
  • Manage vendor services, invoices, and equipment maintenance.
  • Maintain provider schedules and EMR templates.

EDUCATION:

  • Bachelor’s degree in healthcare administration, Business Administration, or a related field preferred.
  • Master’s degree in healthcare administration, Business, or Leadership a plus.
  • Equivalent combination of education and relevant work experience may be considered.

EXPERIENCE:

  • Minimum of 5–7 years of progressive management experience in a healthcare setting, preferably in OB/GYN or specialty practice management.
  • Proven experience supervising and developing staff at multiple levels (clinical, administrative, and supervisory).
  • Hands-on experience with electronic medical record (EMR) systems, scheduling platforms, and patient management software.
  • Knowledge of billing, coding, insurance verification, and revenue cycle management.
  • Strong background in regulatory compliance (HIPAA, OSHA, etc.) and medical credentialing.
  • Demonstrate ability to manage budgets, payroll, vendor contracts, and financial reporting.
  • Experience managing patient relations, conflict resolution, and maintaining patient satisfaction.
  • Previous responsibility for recruiting, onboarding, and retaining clinical and administrative staff.

  • Proficiency in Microsoft Office Suite and comfort with learning new systems and technologies.
