Job Summary
The Executive Assistant to the Vice President of Campus and External Engagement provides advanced, diversified, and confidential executive-level administrative and project support to the Vice President and to the Campus and External Engagement team. The Executive Assistant oversees and coordinates the day-to-day activities of the division office and is the principal point of administrative contact and liaison with internal and external constituencies. This individual is expected to play a key role in fostering a positive work environment with the expectation of continuous improvement and first-class customer service. The incumbent provides leadership to the Campus and External Engagement Division.
Responsibilities
1 - Serve as a member of the leadership team and as a central source of communication to the division, college community and external constituents 2 - Provide support to the Vice President in a wide variety of areas to meet deadlines; prepare and maintain schedules, travel documents and related forms; coordinate assignments and reporting; serve as the liaison to facilitate daily operations of the division and the Vice President; maintain all records and correspondence in support of the offices; function as a liaison between the Vice President and external contacts by utilizing good judgment in determining when to act independently and when to refer matters for further attention. 3 - Track, monitor and follow the progress of projects, action items, and strategies throughout the division; prepare and independently compose correspondence and documents for the Vice President 4 - Manage the division budget and budget related transaction including purchases, supplies, check requisitions and travel and expense reimbursements; oversee reconciliation and completeness of supporting documentation; position holds a P-Card 5 - Research and analyze information and assist leadership in preparing reports, presentations, publications and supporting materials 6 - Secure and maintain confidential information and act as a liaison between the division and internal and external stakeholders; Coordinate employment related actions for the division utilizing talent management, manager self services and performance systems; interface with division leadership and Human Resources throughout the selection process; manage support for new hires including onboarding, securing office space, equipment configuration and security access 7 - Perform related duties as assigned
Required Qualifications
4 Year / Bachelor's Degree from an accredited college/university 5+ years relevant experience
Preferred Qualifications
Experience in higher education Experience managing, planning, coordinating and implementing events
Knowledge, Skills, & Abilities
ABILITIES Experience and proficiency in a variety of Windows based computer programs including MS Outlook, Word, Excel and PowerPoint Ability to learn college operational, Human Resource and budget related systems Ability to understand issues, research and problem solve Ability to prioritize workflow and to direct the work of assistants and students Ability to promote process improvements to create institutional efficiencies Ability to interact effectively with constituents at all levels Ability to independently manage multiple and competing priorities while meeting deadlines Ability to maintain confidential and sensitive issues using judgment, discretion, and diplomacy Skills in interpersonal communications and relationship building Skills in verbal and written communications Skills in organizational and time management Collaborative and team-oriented skills with a commitment to student success and diversity are essential attributes for the individual in this position
