Human Resources Executive Assistant
This is a very responsible administrative work providing assistance with employment, payroll and personnel related functions for the organization. The incumbent performs numerous and varied duties including assisting with employee benefits, updating and maintaining employee databases and personnel files and general office administration duties. Additional responsibilities include assisting with workers compensation claims and unemployment claims, providing assistance to the regional offices with employee related questions and issues and providing support to the Human Resources Director and President of the organization. Job related duties require considerable knowledge of employee benefits administration, equal employment opportunity law, workers compensation, unemployment compensation and the Fair Labor Standards Act, strong organizational, interpersonal and decision making skills, dedicated attention to detail and thorough knowledge of personnel policies and procedures. Job performance is evaluated by the Human Resources Director through review of the effectiveness of interactions and level of support provided for employees, understanding of employee benefit programs and existing personnel policies and procedures, knowledge of employment law, accuracy and thoroughness of work related transactions and organizational, interpersonal and decision making skills.
Illustrative Examples of Work
-Assists the regional offices with employee related issues such as employee benefits, workers compensation claims, unemployment claims, etc.
-Assists with the administration of employee benefits and addresses questions regarding eligibility, types of coverage, benefits and/or claims.
-Maintains and updates personnel policies and procedures manuals, employee benefit booklets, personnel forms, etc.
-Compiles data and assists with responses to legal actions taken against the organization by current or former employees.
-Assists with the renewal of employee insurance benefits during open enrollment or upon initial hire.
-Attends seminars to remain current in employment laws and regulations.
-Assists with the coordination of workers compensation claims and benefits to ensure the timely and accurate reporting of accidents, proper payment of claims, and return to work protocols.
-Assists the Human Resources Director and President with administrative duties upon request.
-Assists with the submission of annual reports to state and federal agencies to document employee demographics, workplace injuries, compliance with state contracts, etc.
-Assists with the preparation of reports and correspondence to document various employment related issues in response to requests for information by insurance companies, benefit administrators, regulatory agencies, etc.
-Reviews employee related documentation including disciplinary actions, reference checks, performance evaluations, etc. for completeness and accuracy.
-Assists employees with issues and concerns pertaining to Family and Medical Leave and maintains records of FMLA usage.
-Performs related duties as required.
Necessary Requirement of Work
Graduation from an accredited four year high school (Associates Degree or HR Certificate preferred) supplemented with additional course work in business administration, human resource management or closely related field; a minimum of three years experience working in human resources for a large organization; considerable knowledge of employee benefits administration, employment law, equal employment opportunity law, workers compensation administration, the American with Disabilities Act, and the Fair Labor Standards Act; or any equivalent combination of education and experience to provide the following knowledge, abilities and skills:
-Considerable knowledge of the employment law pertaining to the recruitment, selection, discipline and discharge of employees.
-Considerable knowledge of the American with Disabilities Act.
-Considerable knowledge of OSHA rules and regulations including reporting requirements, site inspections, etc.
-Considerable knowledge of Equal Employment Opportunity Law including familiarity with all administrative and legal procedures.
-Considerable knowledge of the Fair Labor Standards Act as amended.
-Considerable knowledge of employee benefits administration including eligibility requirements, coverage and benefits, claims administration, COBRA requirements, etc.
-Considerable knowledge of the rules and regulations regarding the storage and dissemination of employee medical records as established under HIPAA.
-Considerable knowledge of computer software programs including data base management, word processing and spreadsheet applications.
-Ability to prioritize and organize personal time and activities and meet all established deadlines and reporting requirements.
-Ability to effectively provide assistance to field supervisors dealing with a variety of employee related issues.
-Ability to maintain detailed and sometimes confidential information in an organized and acceptable manner.
-Ability to organize and maintain operational manuals and policies in an organized and accessible manner.
-Ability to compile data and prepare reports, correspondence, and requests for information.
-Ability to remain current in employment laws and regulations and employee benefit practices.
-Skill in the use of computer hardware components including processing units, monitors, disc drives and keyboards.
-Skill in the use of computer software programs including word processing, spreadsheet and database management applications.

Pay: $35,000.00 - $39,000.00 per year
