Part-Time Program Assistant Family Advocate Liason

Ensure the quality of Agency programs which include but is not limited to:
● Assist in the enrollment process for new families, including conducting intake
interviews and gathering necessary documentation
● Assist in conducting assessments and developing individualized service plans for
families
● Collaborate with team to design and organize activities and events that engage
caregivers
● Research and maintain a comprehensive database of community resources and
services relevant to our family’s needs
● Conduct outreach activities, attend community events, and collaborate with
partner organizations to raise awareness about our programs
● Refer families to external resources such as housing assistance, food banks and
mental health services
● Assist in creating engaging and informative content for our organization’s website
family portal
● Create monthly breakfast and lunch menus for Family Visitation program
● Assist in Creating agency calendar
● Assist in planning and delivering agency programs
● Assist staff, volunteers, parents and guardians to secure paperwork.

● Assist with Documenting, Updating, and reviewing Family files and updating case
notes after connecting with caregivers and or our children
● Administrating evaluations, feedback and satisfaction surveys to children
&caregivers
● Assist in maintaining, tracking and updating the agency’s Core Roster of our
Families
● Ensure Caregiver coach always has the most updated and current family files
and information.
● Communicate with the parent/guardian, and child throughout the relationship.
● Assist with Collecting data from children which includes progress reports and
report cards based on academic calendar for the various school systems the
children are enrolled in.
● Assist with content for posting on social media about the Prison Trips and Ff
events
● Assisting with creating topics for email blasts through Mailchimp in collaboration
with the CEO, Program Coordinator & Caregiver Coach
● Assist with connecting kids with caregiver permission to the counseling -
Hopebound
● Assisting with planning Agency Events /Parties -Back to School, Thanksgiving,
Christmas gift Wrapping
● Responding to phone calls, emails and mail correspondence always keeping the
CEO in the loop and closing the loop where necessary.
● Assist in Coordinating with caregivers to confirm trip attendance
● Ensuring online registration for general visitation Children is completed and
confirmed
● Ensuring all eligible Securus accounts are loaded with funds for the month
● Coordinate and Organize with Caregivers for all trips & activities
● Ensuring all tablets are charged, logged, distributed to children and returned after
trip
● Setting up tablets, snacks, lunches for trip with assistance from Volunteers and
Interns
● Ensuring all Children's Birthdays are celebrated
● Complete and update family case logs regularly
● Assist with Completing all Prison Trip Checklists and uploading to drive after trip
● Collaborating with Interns and Volunteers in organizing lesson plans and Bus
activities
● Working with the On-Call person to ensure everything is removed from the bus
and the bus is clean before releasing the driver.
● Be in the office physically 2 Days in a week
● Attend 9 out of 9 Prison Trips
● Attend all Ff Events including conferences when required
● Attend ALL office debrief meetings
