Position Summary:
The Accounts Payable Administrator plays a critical role in supporting the financial and operational activities of the organization. This position is responsible for managing all aspects of accounts payable, sales order administration, and CRM updates, while also contributing to collections, equipment rental tracking, credit card processing, and office management functions.
Responsibilities:
- Process and manage all aspects of accounts payable, including invoice entry, and timely payments.
- Reconcile vendor statements and resolve discrepancies.
- Review and administer all employee expense reports in compliance with company policy.
- Prepare and distribute weekly and monthly AP reports.
- Assist with weekly cash flow forecasting on the companies’ payables
- Handle all aspects of company credit card purchases, including reconciliation and vendor communication.
- Coordinate basic office maintenance, including safety procedures and building-related needs.
- Support miscellaneous projects and company events (e.g., celebrations, business meetings, team lunches).
- Maintain commissions to sales reps on a monthly basis
- Answer the phone, be the first point of contact in the office
Qualifications:
- 3+ years of experience in accounts payable or a related administrative role.
- Strong working knowledge of accounting systems and CRM platforms (ZOHO preferred).
- Excellent organizational skills and attention to detail.
- Proficient in Microsoft Office Suite, especially Excel.
- Ability to manage multiple priorities and meet deadlines.
- Strong interpersonal and communication skills.
