Quoting and Vehicle Design Coordinator

**Primary Responsibilities**

• Manage the company’s quoting pipeline inside ShopMonkey.

• Review new customer requests, emails, notes, photographs, vehicle information, equipment lists, and sales instructions.

• Create complete and professional quotes from beginning to end.

• Build equipment and material lists based on company standards, prior builds, customer requirements, and management direction.

• Write clear scopes of work that explain what Blueprint Fleet Outfitting will supply, install, configure, remove, repair, or modify.

• Prepare basic vehicle equipment layouts and visual designs showing the proposed placement of lights, consoles, radios, graphics, storage systems, and other equipment.

• Use product photographs, vehicle templates, diagrams, prior builds, and approved design assets to create clear customer-facing concepts.

• Calculate equipment quantities, labor hours, shop supplies, freight, fees, discounts, and other approved charges.

• Confirm that every quote contains the correct customer, vehicle, pricing, equipment, labor, warranty, payment, and project information.

• Review every quote for spelling, grammar, mathematical errors, missing items, duplicate items, unclear descriptions, and inconsistent pricing.

• Compare quotes against customer requests to make sure nothing was overlooked.

• Identify missing information and obtain clarification from sales, operations, vendors, or management.

• Request current vendor pricing and product availability when needed.

• Maintain organized product pricing, labor standards, quote templates, installation packages, and approved equipment options.

• Develop reusable quote templates for common vehicle types and build packages.

• Update customer records, vehicle records, notes, attachments, and quote statuses in ShopMonkey.

• Track quotes that are waiting for customer information, vendor pricing, design approval, management approval, or customer follow-up.

• Prepare revisions when customers request equipment, pricing, or design changes.

• Send approved quotes and supporting documents to customers.

• Maintain a daily list of open quotes, overdue quotes, missing information, and required management decisions.

• Coordinate with the sales and production teams so the quote accurately reflects what the shop can build.

• Help improve the company’s quoting system so quotes become faster, more accurate, and more consistent over time.

**Authority and Expectations**

The Quoting and Vehicle Design Coordinator will be expected to handle routine quotes independently after training.

The coordinator may use approved pricing, labor standards, product options, quote templates, and company procedures without requesting approval for every routine decision.

Management approval will still be required for:

• Unapproved discounts.

• Unusual pricing.

• Custom payment terms.

• Major design changes.

• Unfamiliar products.

• Large government or fleet projects.

• Commitments concerning delivery dates or production schedules.

• Quotes with unclear margins or significant financial risk.

The coordinator must never invent pricing, product specifications, labor requirements, or customer information. Questions must be identified and escalated before the quote is sent.

Required Qualifications

• Strong written and spoken English.

• Excellent attention to detail.

• Experience preparing estimates, proposals, invoices, scopes of work, or customer quotes.

• Experience with graphic design, vehicle layouts, product mockups, technical diagrams, or visual proposals.

• Comfortable working with equipment lists, quantities, labor hours, pricing, margins, and customer requirements.

• Strong organizational and project-management skills.

• Able to manage several active quotes without losing information or missing deadlines.

• Able to follow detailed processes while also using sound judgment.

• Comfortable contacting team members and vendors to obtain missing information.

• Able to learn technical products and understand how equipment is installed on vehicles.

• Reliable internet connection and dependable weekday availability.

• Able to protect confidential customer, vendor, pricing, and company information.

Preferred Experience

Experience with any of the following is helpful:

• ShopMonkey.

• Automotive estimating or repair-shop software.

• Emergency vehicle equipment.

• Commercial vehicle equipment.

• Fleet upfitting.

• Automotive accessories.

• Low-voltage electrical systems.

• Government or municipal quotes.

• Adobe Illustrator.

• Adobe Photoshop.

• Canva.

• Figma.

• CorelDRAW.

• Vehicle wrap or graphics design.

• CRM or project-management platforms.

Applicants do not need prior emergency-vehicle experience, but they must be willing to learn our products, terminology, pricing structure, and build standards.
