Job Overview
RigUpATL is seeking a detail-oriented and organized Office Manager / Accounts Payable Specialist to manage day-to-day accounting and administrative operations. This individual will ensure that all vendor invoices, credit card transactions, and reconciliations are processed accurately and on time, while maintaining an efficient and professional office environment. The ideal candidate thrives in a fast-paced setting, demonstrates excellent attention to detail, and can balance multiple priorities across accounting and administrative functions.
Key Responsibilities
Accounts Payable & Financial Administration
- Enter, code, and process all vendor invoices into the accounting system accurately and in a timely manner.
- Manage weekly payables cycle, ensuring all vendor payments are properly authorized and scheduled.
- Reconcile vendor statements monthly; investigate and resolve discrepancies.
- Enter and reconcile credit card transactions with supporting receipts and job coding.
- Maintain accurate and organized financial documentation and filing systems (digital and physical).
- Support month-end closing processes through payables and expense reconciliations.
Office Management
- Serve as the primary point of contact for general office administration.
- Order and maintain office supplies, field consumables, and other materials as needed.
- Coordinate with vendors and service providers for office-related needs (IT, cleaning, maintenance, etc.).
- Assist with incoming mail, deliveries, and document distribution.
- Support basic HR or onboarding tasks as needed, such as new hire setup or maintaining staff rosters.
Administrative Support
- Provide light administrative and project support to management and field operations.
- Assist with expense reports, document formatting, and general data entry as needed.
- Help maintain company records, forms, and compliance documentation.
- 2+ years of experience in accounts payable, bookkeeping, or office administration (construction or industrial background preferred).
- Proficiency in accounting software (e.g., QuickBooks, Foundation, or similar).
- Strong Excel and general computer skills; ability to manage digital files and cloud-based tools.
- Exceptional attention to detail and organizational skills.
- Strong written and verbal communication skills.
- Ability to work independently, prioritize tasks, and meet deadlines in a dynamic environment.
Work Environment
- Full-time, in-office position.
- Standard business hours with occasional flexibility during month-end or project deadlines.
- Collaborative and fast-moving team environment supporting field operations and management
