Aesthetic Scheduler - Georgia

PURPOSE:
The Aesthetic Scheduler plays a key role in the daily operations of the aesthetic department by coordinating patient appointments, supporting treatment flow, and ensuring aesthetic equipment and inventory are well maintained. This position blends patient-facing service with behind-the-scenes operational support to deliver a seamless, high-quality patient experience.
- Schedule and confirm aesthetic services including consultations, procedures, and follow-up appointments
- Ensure appropriate appointment lengths, provider pairing, and room/equipment availability
- Communicate pre- and post-treatment instructions to patients
- Manage cancellations, rescheduling, waitlists, and provider availability efficiently
- Serve as a knowledgeable point of contact for aesthetic services and pricing
- Maintain aesthetic equipment by coordinating routine maintenance, calibration, and service requests
- Ensure treatment rooms are properly stocked, clean, and prepared for daily schedules
- Monitor equipment readiness to support uninterrupted patient care
- Report equipment issues promptly and assist with troubleshooting
- Track, manage, and restock aesthetic products, injectables, skincare, and supplies
- Conduct regular inventory counts and reconcile usage
- Place product orders and coordinate with vendors as needed
Requirements
- High school diploma or equivalent required; healthcare or medical office experience preferred
- Previous experience in dermatology, med spa, or aesthetic practice strongly preferred
- Familiarity with EMR and scheduling systems
- Strong organizational skills and attention to detail
- Excellent customer service and communication skills
