Group and Transient Rooms Coordinator - Waldorf Astoria Atlanta Buckhead

Waldorf Astoria is looking for a Group and Transient Rooms Coordinator to join the team at this gorgeous Atlanta property!

Located in one of Atlanta's most prestigious neighborhoods, this 42-story tower has over 200 rooms (127 guest rooms plus residences ), over 10,000 square feet of meeting space, and 3 food and beverage outlets. This includes the 3-meal restaurant, bar, and in-room dining.

  • Classification: Full-Time
  • Shift: Primarily Monday - Friday business hours but must have availability to work weekends and/or holidays as needed.

What Will I Be Doing?

As a Group and Transient Rooms Coordinator, you will be responsible for handling group and transient reservations generated from the Sales and Catering Managers. Also supporting leisure, business travel, and front desk reservations. Facilitate OnQ input and cross-reference with Delphi data. Maintain group blocks and prepare various reports. Attend pre-convention meetings and meet with group planners. Specifically, you will be responsible for performing the following tasks to the highest standards:

  • Check for and review group GRO alerts

  • Review No Show report for Group cancellations

  • Monitor and take lead on ATL Res emails and handle reservation requests

  • Add credit card authorizations to master for accounting to process deposits

  • Prepare amenity requests

  • Support Groups in-house

  • Send out cutoff date reminders, complete customer callbacks/personal line

  • Create/Update Master as needed for new rate plans (Transient, BT, Consortia and Group) in OnQ

  • Check GRC daily against pick up to ensure accurate reporting

  • Review Group invoice for accuracy post invoice

  • Enter Group rooming lists, manually or via RAPID

  • Fastpay reconciling (update pick-up, verify agent information is correct, and follow-up with fastpay if delayed)

  • Send client a copy of rooming list back with confirmation numbers

  • Calculate and monitor Group attrition, advise clients of status and options when applicable

  • Building Group blocks in R&I

  • Complete pick-up reports

  • Process check requests, commission inquiries

  • GRC Report- review make notes for meeting

  • Review Resume Packet

  • Attend Resume Meeting

  • Attend Group pick up call

  • Update GPU from team call

  • Submit info for Resume Packet distribution

  • Attend Resume Meeting

  • Double check GRC before meeting for rolling 6 months review

  • Process Group /commission packets and reports

  • Award Event Planner points

  • Update Points Log to track points awarded

  • Group audits for housing bureaus (as needed)

  • Serve as backup to the Sales & Event Coordinator by completing assigned duties

  • Perform any other reasonable duties as required by the Director of Revenue Management and Director of Sales and Marketing

What are we looking for

  • Minimum one year in Full Service Front Desk or Reservations Hotel experience
  • Excellent guest handling skills
  • Strong verbal and written communication skills required
  • Computer literacy which is not limited to: Microsoft Office, Excel and Power point
  • Excellent typing and organizational skills
  • Must maintain a high degree of confidentiality
  • Well organized and detail oriented is a must
  • Ability to work without supervision
  • Must possess ability to coordinate with multiple tasks
  • Requires high levels of interaction with all members of staff
  • Strong level of professionalism must be displayed at all times
  • Willingness and capacity to learn and apply new systems
  • Proficiency in Rates & Inventory systems

    Desirable:

  • OnQ Rates and Inventory experience
  • Delphi.fdc experience
  • GRO experience
