JOB PURPOSE: The Compliance Specialist is responsible for ensuring smooth office operations, managing documentation and security protocols, and supporting HR and EHS functions. This role requires strong organizational skills, attention to detail, and the ability to coordinate effectively with internal and external teams.

• Manage daily office operations including visitor coordination, calendar management and facility maintenance requests.
• Organize and maintain company documents and records in both digital and physical formats as well as maintain organized filing systems.
• Support HR functions including recordkeeping, onboarding assistance, and employee communications.
• Assist EHS team with compliance documentation, departmental compliance audits, training coordination, and safety communications.
• Serve as administrator for company website to include update and design implementations; in addition, to managing all social media platforms.
• Oversee security management of facilities and assets by ensuring proper access control and documentation. Issue employee and visitor badges, maintain accurate logs of badge issuance.
• Monitor metal detectors and other security screening equipment to maintain a safe and secure environment.
• Assist with emergency evacuations, including coordination with emergency response teams and guiding personnel to safety.
• Support general administrative functions such as scheduling, recordkeeping, and internal communications.

Qualifications:

• Bachelor’s degree in Business Administration or a related field.
• 1–3 years of experience in administrative support or office coordination.
• Strong attention to detail and ability to follow security procedures.
• Familiarity with security equipment such as metal detectors and badge systems.
• Ability to remain calm and act decisively during emergency situations.
• Strong multitasking abilities, organizational, and communication skills.
• Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
• Experience as an HR assistant or in recordkeeping is a plus.
• Planning and multitasking abilities.
