Contract Assistant Property Manager – Norcross, GA

Location: Norcross area

Pay: $31.00–$36.00 per hour (DOE)

Schedule: Monday–Friday, 9:00 AM – 5:00 PM

Assignment Length: Approximately 6 months

We are seeking a Contract Assistant Property Manager to provide first-class property management services and support the Regional Manager in overseeing a portfolio of commercial real estate properties.

This role is highly operational and relationship-driven, with daily responsibilities that include supporting building operations, enhancing tenant relations, vendor coordination, financial administration, and customer service.

Key Responsibilities

General Office / Administrative

  • Provide administrative support to the Property Manager, including phone coverage, drafting correspondence, filing, and report distribution.
  • Maintain tenant and vendor contact lists, including emergency contact information.
  • Organize and maintain property management filing systems (electronic and hard copy).

Accounting & Financial Administration

  • Review, code, and approve property-related invoices for timely and accurate payment.
  • Submit and approve tenant bill-backs; distribute invoices and ensure collections.
  • Review and reconcile tenant ledgers and Aged Receivables reports.
  • Prepare and send rental increase notices and other required tenant communications.
  • Process security deposit refund requests.
  • Assist with monthly financial reporting, including variance analysis and accruals.
  • Participate in annual operating expense estimates and reconciliations.
  • Assist with annual budgeting, including bid collection, analysis, and draft recommendations.

Customer Service / Tenant Relations / Lease Administration

  • Build and maintain strong relationships with tenants, vendors, and ownership.
  • Serve as a primary point of contact for tenant requests and concerns.
  • Provide proactive tenant services in accordance with lease agreements.
  • Abstract new leases and enter data into accounting systems.
  • Track critical lease dates, options, expirations, and amendments.
  • Prepare lease documents and exhibits for execution and distribution.
  • Serve as liaison between landlord and tenant regarding lease compliance.
  • Conduct lease file audits and track document updates.
  • Manage commission calculations and payment processes.
  • Track Tenant Improvement allowances to ensure compliance with lease terms.

Property Management Operations

  • Support daily office and property operations.
  • Coordinate tenant maintenance requests with vendors or maintenance teams.
  • Assist with acquisitions, dispositions, and refinance projects.
  • Track and maintain Certificates of Insurance for tenants and vendors.
  • Enforce lease compliance procedures (notices, tracking, follow-up).
  • Solicit vendor bids and prepare service contracts.
  • Manage utility accounts and transfers during vacancies and tenant transitions.
  • Maintain complete tenant lease files throughout the lease term.
