Procurement Coordinator (ATL)
: The Procurement Coordinator will support the Construction Services and Facilities Management teams in maintaining project schedules and budgets by ensuring the timeliness and accuracy of third-party goods or product deliveries. The Procurement Coordinator will track product orders and deliveries from the time a purchase order or other financial commitment is issued to a vendor through receipt and verification of goods or products. The Procurement Coordinator may from time to time also assist in the support of site or project procurement efforts under the guidance of Procurement leadership.
RESPONSIBILITIES
- Maintains records of goods that have been ordered and corresponding delivery dates
- Confirms delivery dates with vendors and regularly monitors delivery dates so as to reduce the impact of any delays
- Notifies Procurement leadership and Facilities Management/Construction Services stakeholders of any change to contracted products, quantities, or delivery dates
- Works with vendors and T5 teams to mitigate or eliminate delays through innovative approaches to product replacement, logistics solutions, product redistribution, or vendor escalation
- Ensures and tracks that goods receipt at site or project is performed by local team to confirm delivery date, quantity, specifications, and condition of goods aligns with original purchase order
- Establishes and maintains business relationships with vendors to ensure timely and responsive support when required
- Assists in ensuring that a three-way match (PO versus invoice versus goods receipt) is performed and actioned appropriately
- Maintains project, site, and enterprise records of vendor delivery performance and prepares reports by vendor for use in vendor performance reviews
- Liaises closely with the site or project teams, ensuring timely communications with respect to third-party goods or product deliveries
- Performs general office duties relating to their responsibilities, including:
- Correspondence and filing
- Minutes of meetings
- Preparation of reports and documentation
- Updating of electronic records
- Tracking and administration of material orders
- Vendor administration
- Monitoring progress against purchase orders and ensuring that purchase orders are updated when changes are required
- Issue escalation process and updates
- Interface with vendors, customers, executives, Facilities Management and Construction Services teams, leadership, and internal finance team to address and resolve any inquiries or issues
- Trains staff as and when required
- Maintains full auditable trails for material orders and goods received acknowledgements All other work as assigned by T5 Procurement or Executive leadership
EDUCATION AND EXPERIENCE
- Bachelor's degree or equivalent experience, required
- 3+ years in a Procurement Coordinator role or related experience, required
- 3+ years in Construction Services or Property/Facilities Management procurement or procurement expediting experience, preferred
