About the Role:
LaAmistad is seeking an Operations Assistant who embodies our values and is ready to play a key role in supporting our mission-driven team. This individual will manage daily office operations, provide executive and administrative support, and ensure that our leadership team is well-equipped to serve students and families.

Key Responsibilities:
Administrative and Executive Support:
- Provide comprehensive administrative support to the leadership and staff, including calendar management, travel coordination, and correspondence.
- Prepare materials and logistics for meetings, including board and committee gatherings.
- Draft, edit, and organize communications, reports, and presentations.
- Coordinate cross-departmental scheduling and ensure follow-up on action items.
- Support special projects and events that strengthen organizational operations and relationships.
- Maintain confidentiality and professionalism in all interactions.
- Assist with internal and external communications, including staff updates, donor correspondence, and board messaging.
- Track key priorities and deadlines for the Executive Director to help ensure timely progress on strategic initiatives.
- Coordinate staff meetings, retreats, and celebrations that reinforce team culture and engagement.
- Support stakeholder relations by managing follow-up and maintaining contact databases.
- Contribute to process improvement and documentation to keep administrative systems running efficiently.
- Serve as a liaison between leadership and staff to maintain smooth communication and alignment across departments.
Office Management, Inventory, and Logistics:
- Manage office inventory, supplies, and vendor relationships to ensure smooth operations.
- Oversee facility needs and maintenance, creating a welcoming and organized environment for staff, students, and visitors.
- Coordinate office logistics for events, meetings, and daily operations.
- Support internal systems for office processes, recordkeeping, and equipment management.
Finance and Operations:
- Perform bookkeeping tasks, reconciliations, and assist with financial reporting.
- Assist in budget tracking and expense management.
Human Resources and Operations Support:
- Assist with HR operations, including interviewing, supporting onboarding and offboarding processes, and handling other assorted personnel-related duties to ensure a positive employee experience.
Skills and Qualifications:
- 3 to 5 years of administrative or office management experience.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Advanced proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Professional discretion when handling confidential information.
- Ability to work effectively with minimal supervision and as part of a team.
- Strong problem-solving and decision-making skills.
- Bachelor’s degree or equivalent experience.
- Proficiency with project management tools such as Asana, Slack, Notion, or similar.
Preferred Qualifications
- Experience with Salesforce, Blackbaud, and/or BambooHR.
- Experience working in nonprofits or community-based organizations.
- Bilingual in Spanish and English strongly preferred.
- Experience in education, youth development, or volunteer coordination is a plus.
Physical Requirements
- Walk quickly across campuses and climb stairs.
- Lift and carry up to 30 pounds.
- Push rolling carts and perform light setup for events.
- Maintain adequate hearing and vision to perform job duties.
