- Deliver complete document production (proposals, slide presentations, correspondences, etc.) that must be handled accurately and produced in a timely fashion.
- Attend ELT meetings as needed, using AI tools, create notes from meetings including summaries, action items, and sync with internal systems.
- Follow up with leaders on behalf of CEO and COO as needed.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Communicate at the highest levels of professionalism and respect confidentiality.
- Present in office when CEO or COO is hosting meetings and/or client visits.
- Responsible for maintaining and managing calendars and schedules including personal appointments.
- Proofread documents for spelling and grammatical accuracy, and ensure they are properly organized and in the final presentation stage. This includes re-writing and/or drafting communications from the CEO keeping in similar writing styles.
- Prepare expense reports and initiate invoice processing.
- Maintain contacts database.
- Coordinate meetings, special events and corporate functions as needed.
- Maintain company material and information in a confidential manner.
- Make appropriate travel arrangements and be detail oriented in developing an itinerary.
- Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.
- Oversee Facilities Manager in ensuring the office is operating smoothly.
- Manage, mentor, recruit, train and develop your direct report(s) including managing of HR processes, conducting training exercises, coaching and team culture development.
- Utilize “The Benson Way” fundamentals to foster a supportive culture including promoting effective communication, teamwork, kindness, commitment, ownership, results-driven work, consistency, and customer-centricity.
- Other tasks and projects as assigned.
- Required, Bachelor's Degree
- Required, Minimum of 3-5 years executive or senior officer level administrative experience in a corporate environment.
- Must have the ability to work with little or no supervision: meet deadlines, prioritize assignments, provide recommendations and effectively communicate updates.
- Strong communication and writing skills for proofing.
- Demonstrated self-motivator and proactive in managing long-term or ongoing administrative projects in balance with daily routine
- Must have advanced level computer skills, including Internet navigation, Microsoft Office (Word, PowerPoint, Excel, Outlook, Visio, OneNote) and Adobe Acrobat.
- Must be a professional team player with a high level of positive energy and a “can do” approach in all activities.
- Must have the ability to handle confidential and sensitive information, be detail oriented and work in a fast-paced, collaborative environment.
- Must be competent and confident in interaction with employees as well as outside parties that have (or seek) a relationship with the Company.
- Should have a flexible schedule and be able to work outside the core business hours (on a limited basis)
