Intake Coordinator
Childers, Schlueter & Smith, LLC, a prestigious Atlanta-based law firm, is in search of a dynamic new member for its team, primarily serving as an Intake Coordinator for the firm. This full-time in-office position offers an outstanding opportunity to work in a collegial and professional environment on important and impactful cases in the areas of medical malpractice, products liability, premises liability, and major motor vehicle/trucking collisions. This position involves close interaction with clients, medical providers and other firms/companies. Our goal is to make a meaningful impact in the lives of those who have been catastrophically injured by the negligence of others.
Job Summary:
The Intake Coordinator is the first line of communication with new clients. They work closely with attorneys and paralegals to coordinate obtaining the required information needed to move the case forward. Must be able to multi-task, prioritize, demonstrate attention to detail, and have excellent time management and organizational skills in a high-volume environment.
• Makes initial phone contact with the client, verifies information, send out welcome letters and any additional documents required.
• Process all mass tort and product liability cases, including new cases.
• Search for liens (hospital, Medicaid/care, child support, etc.)
• Effectively manage case load, e-mails, etc.
• Answer phones on an overflow or substitute basis as needed, call clients, provide timely updates.
• Records invoices (Date stamp all invoices, enter into Filevine with provider’s names and amounts, put invoices in alphabetical order and then give to accountant for processing.
• Prepare cut loose letters as requested/needed including certified mail, regular mail, etc.).
• Manage all Medicare and Medicaid requests to include sending out Proofs of Rep to clients.
• Send out correspondence letters for attorneys as needed.
• Work closely with attorneys and paralegals to ensure the proper information is obtained to move the case forward.
• Performs other related duties as assigned.
Required Skills/Abilities:
• Excellent verbal and written communication skills.

• Excellent time management skills with a proven ability to meet deadlines.
• Proficient with Microsoft Office Suite, Adobe and other software.
• Knowledge of basic office equipment (scanners, phones, copiers, postage meters, printers, etc.)
Education and Experience:
• High School diploma or GED
• College degree is a plus
• Minimum of 2 years related experience
• Experience using a legal case management software, preferred but not required
Physical Requirements:
• Prolonged periods sitting at a desk and working on a computer.
