Bilingual Client Services Specialist
Catholic Charites Atlanta is seeking a bilingual (English & Spanish) Administrative Assistant/Receptionist to join our Immigration Legal Services team. Must have a High School diploma, 1-3 years experience in a clerical setting, proficient knowledge and use of computer programs (Microsoft Word, Excel, Outlook etc.) and have experience working in a multicultural setting. Must be bilingual.
Responsibilities:
1. Customer Service for all CCA prospects and clients within the scope of the Immigration Legal Services Program and Refugee Services Program reception area. This is inclusive of initial and on-going client interactions via electronic, phone or in-person communications.
2. Initiate potential client (PC) prescreening and assessment, inclusive of programmatic qualifications and financial assessment.
3. Directing client communication and responding to general questions and referral for all CCA prospects and clients within the scope of the Immigration Legal Services Program and Refugee Services Program reception area.
4. Preparation, processing and data management of inbound and outbound mail.
5. Completing intake applications, and scheduling appointments under the direction of department supervisors.
6. General administrative support of staff involving customer service and file administration needs.
7. Translation services for client support as requested.
8. Data input to various CCA databases.
9. Provide administrative/clerical support for the Immigration Legal Services Program and Refugee Services Program.
10. Oversee the overall first impression of callers, clients and visitors to ensure a positive, professional reception. Troubleshoot client concerns/complaints as needed. Manage lobby traffic.
11. Responsible for handling all client payments through data management software.
12. Responsible for handling all assigned client phone calls and inquiries in a responsive manner.
13. Oversee the maintenance, work orders, trouble shooting of the CCA Northlake facility, including the bathrooms and the kitchen area.
14. Oversee the maintenance of and the supplies of both Immigration Legal Services Program and Refugee Service Programs' printer/fax/copiers that support the program's operations.
15. Meet regularly with the Lead Paralegal to facilitate program management, communication activities, discuss service quality, etc.
16. Responsible for meeting with immediate supervisor on a regular basis and actively using supervision to strengthen skills and grow as a professional. Responsible for meeting individual benchmarks and other performance measures. Addresses areas of concern in a timely and productive manner. Remains open to feedback from team members and supervisors.
