ADMINISTRATIVE ASSISTANT - Swainsboro, GA

Monday - Friday

Pay: $15+

The position will be a shared position responsible for assisting the Divisional Accountant in various accounting and clerical tasks related to the maintenance and processing of monthly accounting functions in a timely and accurate manner; as well as administrative duties for operations which include daily reporting along with the tasks listed below:

MAJOR RESPONSIBILITIES:

• Administrative

o Greet and direct visitors.

o Send outgoing mail and distribute incoming mail.

o Arrange lunch for mill, procurement, reliability, and any other functional department.

o Maintain and requisition all office supplies.

o Schedule conference rooms.

o Maintain employee message board.

o Any other administrative tasks deemed necessary by the Manager or HR.

• Operational Reporting / Data Entry

o Enter all work orders and planer consumption in inventory system.

o Update Daily Files.

o Review production entered from previous night by operations employee for accuracy.

o Reconcile bills of lading to shipments (makes sure all BOLs are "shipped").

o Ad Hoc Accounting/Operations Reporting.

o Reconcile inventory

o Calculate usage and reconcile receipts and shipments.

o Review production volume vs. forecasts; work with Divisional Accountant on providing commentary if +/- 25%.

o Handle all duties required for the Business Review

• Inventory

o Enter inventory adjustments in application.

o Assists with month end inventory counts.

o Research inventory deviations to determine possible causes and communicate this to management via periodic reports.

o Assist with fixed asset inventory audits.

o Communicate observed internal control violations to Divisional Accountant for handling.

• Accounts Payable/Purchasing

o Create check requests, procure approvals, scan and send

o Communicate and correspond with USSE Operations AP staff to ensure timely process of vendor payments.

o Collect purchasing documents (receiving documents & PO's) and files at the main office.

o Maintain purchasing card receipts and logs

• Human Resources

o Ad Hoc Human Resources Reporting & Duties.

o Distribution of bi-weekly payroll checks to hourly staff.

o Assist with scanning of documents in SharePoint

o Assist with Temp Employees Timesheets

o Assist with Filing

o Straighten and maintain supply room

o Assist with hiring interviews and combines as needed by HR

o Assist with new hire folders

• EHS

o Support for employee safety meals and events.

o Ad Hoc EHS Reporting & Duties.

o Assist with helping maintain safety records including training records, JSAs, safe work cards, etc.

REQUIRED COMPETENCIES:

• Positive, proactive, detail-oriented and driven to succeed.

• Effective organization, planning, implementation, and follow up skills.

• Excellent interpersonal and communication skills and ability to work effectively in a highly interactive team environment.

• Strong Microsoft Excel skills.

• Willingness to work a flexible schedule.

• Knowledge of HR confidentiality

REQUIRED EDUCATION, EXPERIENCE, AND / OR TRAINING:

• Post-secondary degree in Business/Accounting/Finance is preferred but not required.
