Summary
The primary responsibility of the Benefits Specialist is to assist the Benefits Team in the management of the company’s Health, Welfare and Retirement benefit plans, as well as the Absence Management program.
Essential Duties and Responsibilities
- In conjunction with benefits, retirement and the absence management team, ensure compliance with federal and state employee benefits regulations, as well as the shifting needs of the organizations workforce; review and obtain necessary documentation for qualified plans; ensure compliance with DOL, IRS and ERISA mandated submissions, regulations and employee communications.
- Assist with the development of benefit, retirement and absence programs to meet the changing needs of the company and employees.
- Analyze detailed data to track and manage employment classification changes specifically applicable to eligibility and enrollment in benefit plans.
- Review and complete monthly benefit billing report and reconciliation to ensure vendor invoices are paid timely and accurately.
- Complete Medical Support Notices – paper and online.
- Assist benefits team with non-discrimination testing for FSA in partnership with our external vendor compliance team.
- Assist retirement team with all facets of compliance testing.
- Assist with the annual Open Enrollment process, which includes communication reviews, web testing, analysis and reporting.
- Assist and communicate ongoing benefit changes for employees– qualifying life events.
- Assist with the maintenance and updates as needed of the employee benefits website.
- Provide resolution to tier one and tier two employee benefit issues through KACE ticketing system.
- Service as back up to benefits, retirement and absence teams.
- Assist with benefit rates validation through Workday system and testing of Payroll deductions to ensure accuracy (in conjunction with Payroll).
- Assist in overseeing assigned benefit vendors and work closely with internal payroll, finance, compensation and HR teams to ensure that deliverables are received accurately and responded to on a timely basis.
- Assist benefits team with 1094 / 1095C reporting and compliance with the ACA.
- Assist benefits team with vendor management. Resolution of non-complex escalations.
- Coordination with Legal for disability and leave related litigation, and requests for plan information.
- Deliver employee communications to HR and field operations.
- Respond to life insurance claims directly with insurance carrier.
- Assist leave of absence team with leave policies and communications, including generation of leave of absence correspondence.
Requirements / Education / Experience
- Benefits and/or Human Resources experience of at least 2 or more years of health and welfare/retirement plan experience.
- Ability to evaluate systems and procedures to develop improvements.
- Ability to analyze and interpret data – including advance excel skills.
- Ability to maintain confidentiality and adhere to the highest degree of professional standards.
- Ability to manage multiple projects at one time.
- Ability to prioritize and organize effectively in a fast paced environment independently and with a team.
- Knowledge of employee benefit plans, policies and procedures.
- Knowledge of state and federal laws regarding ERISA, HIPAA, FMLA, ADAAA and the ACA.
- Knowledge of Workday a plus. Other Duties
