Onsite Coordinator

Job Summary

You will serve as the on-site point of contact for studio access, visitor flow, basic facilities requests, and vendor coordination. You’ll help maintain an organized, safe, and professional environment—opening and closing the studio, handling badges and signage, coordinating supply needs, and supporting catering/craft services as required. You’ll communicate quickly and clearly with internal teams, escalate building issues to the right parties, and keep production days moving.

Essential Duties and Responsibilities

  • Work alongside the Director, Production Operations, to support Atlanta Studio Management
  • Assist with and facilitate on-site COVID-19 compliance requirements
  • Create and distribute crew badges/credentials when required
  • Welcome and direct visitors to their requested destinations; provide clear wayfinding
  • Open/close the studio during standard business hours; ensure studio spaces are guest-ready
  • Support studio-management duties when assigned, including posting signage, layout work, ordering and assembling furniture, and basic room resets
  • Relay building issues, supply replenishment needs, package receiving/deliveries, and similar facility items to the appropriate party; track to closure
  • Respond quickly to online communications and attend daily standups with the Studio Services team
  • Assist with catering and craft services ordering, setup, and distribution when requested
  • Execute all other tasks as assigned to support productions and general operations

Key Success Indicators

  • Proficiency with Google Workspace (Gmail, Sheets, Docs, Tasks, Keep) and familiarity with standard office workflows; Microsoft Office Suite experience
  • Demonstrated success executing independent tasks with minimal supervision
  • Self-starter with excellent follow-through and time management
  • Detail-oriented with strong verbal and written communication skills
  • Solution-oriented mindset; able to “go with the flow” and pivot quickly as needs change
  • Experience managing priorities in a time-sensitive, high-traffic environment
  • Composure under pressure and professionalism in high-stress situations

Preferred Qualifications (Nice to Have)

  • 1–3 years in onsite coordination, facilities/office coordination, studio or event operations, or hospitality/front desk roles
  • Experience supporting live production or studio environments
  • Familiarity with Slack/Teams or similar internal comms tools
  • Basic comfort with light lifting, moving boxes/furniture, and simple assembly tasks
