About the Role:
We are looking for a highly organized, dependable, and proactive Operation Assistant to support a business owner across multiple businesses as well as occasional personal tasks. This role requires a versatile individual who thrives in a fast-paced environment and can handle a blend of administrative, operational, and personal responsibilities with discretion and efficiency.
Key Responsibilities:
• Manage and respond to emails across multiple business and personal accounts
• Track and maintain business and personal related accounts, documents, and records
• Place orders and handle vendor communications
• Visit business locations as needed to assist with operations or provide in-person support
• Schedule and coordinate meetings, calls, and events
• Book travel arrangements, including flights, lodging, and transportation
• Assist with the owner’s personal scheduling, travel, and occasional errands
• Manage incoming phone calls, provide initial support, and direct complex issues to the appropriate personnel
• Answer calls and/or travel to business locations on weekends when needed
• Maintain confidentiality while managing both personal and business-related matters
• Ensure timely completion of all assigned tasks and follow up as needed
Qualifications:
• Proven experience as an operation or personal assistant, or in a similar administrative support role
• Excellent organizational and multitasking skills
• Strong written and verbal communication abilities
• Tech-savvy proficient in email, calendars, spreadsheets, and productivity tools and experience using multiple platforms such as Canva, Wix, Tenant Cloud, Outlook, and other productivity tools
• Comfortable navigating and learning new systems and software as needed
• Discreet, reliable, and professional in all interactions
• Must have reliable transportation and flexibility to travel locally, including occasional weekends
Preferred:
• Experience supporting entrepreneurs or managing a mix of business and personal tasks
• Familiarity with small business operations and logistics
